Set Resource Availability
Set weekly shifts and blocked date-time ranges for a selected resource, or for the team-member resource linked to your account.
Use Manage availability to maintain bookable hours for a selected resource, or use My availability for the team-member resource linked to your signed-in account. Both entry points use the same weekly-shift and block controls; only the resource they change is different.
Manage availability for a selected resource
Use this route to configure a resource selected from Team & Resources.
Open Team & Resources
In the classic admin sidebar, go to Sales & Orders → Appointments. In the new admin sidebar, go to sell. → Appointments. In the Appointments header, select Team & Resources.
Find the resource
Use Search team & resources to narrow the list by name. You can also use the All types filter to show Person, Space, or Equipment rows; these controls only change which rows the list displays.
Open the selected resource
In the resource row's Actions column, select the clock action labelled Manage availability. The page opens as Availability — resource name. Use Back to Team & Resources to return to the list and choose a different resource.
Set the resource rules
Use Weekly shifts and Date overrides & blocks as described below. Each new or removed rule applies to the resource selected in the previous step, not to every resource in the list.
Access to a selected resource
Manage availability is shown in each resource row. The interface does not show a separate permission page for this route; if a save or removal is not permitted, it shows an error notification.
If the Team & Resources list cannot load, it shows an error and Retry. With no matching rows, change or clear Search team & resources and the type filter. The selected resource's name is loaded separately: if that lookup fails, the page shows Couldn't load this resource as an error notification; select Back to Team & Resources and open Manage availability again.
Open My availability
Screen: In the classic admin sidebar, go to Sales & Orders → Appointments. In the new admin sidebar, go to sell. → Appointments. When your account has the staff view, the page opens at My Day; select My availability in its header. My availability is not a separate sidebar item.
The page heading is My availability and explains that the shifts and date overrides determine what customers can book. It loads only an active team-member resource linked to your account.
A linked resource is required
If the screen says that your account is not linked to a team-member resource, ask an administrator to link it in Sales & Orders → Appointments → Team & Resources (or sell. → Appointments → Team & Resources in the new sidebar). The availability editor is not shown until that link exists.
Add weekly shifts
Choose the weekday
Under Weekly shifts, select Day from Sunday through Saturday. The form initially selects Monday.
Set the working interval
Enter Start time and End time. They initially contain 09:00 and 17:00. The page blocks the save and shows End must be after start below End time when the interval is reversed or equal.
Add the shift
Click Add shift. The new row is added under Weekly shifts, with its day and 24-hour start and end times.
Repeat where needed
Add a separate rule for each working interval or weekday. The screen does not provide a bulk weekly-hours form.
Each saved weekly-shift row has a trash icon. Select it to remove that rule; removal has no confirmation dialog. There is no edit control for an existing shift, so remove it and add the replacement interval. Add shift is disabled while that shift is saving. A successful add or removal displays a confirmation notification.
A failed save or removal usually displays an error notification too — except when the failure is an overlap with an existing shift or block for the same team member. An overlapping add never shows the generic error notification; instead the form shows an inline message next to the fields. When the conflicting shift's own time range is known, it reads This overlaps an existing shift (for example, Monday, 9:00 AM–1:00 PM). Adjust the time or remove the other shift first. Otherwise it reads This overlaps an existing shift or block for this team member. Adjust the time or remove the conflicting one first.
No weekly shift means no bookable time
No weekly shifts yet means this resource is treated as never available until you add at least one weekly shift.
Group / capacity offerings use the whole linked team's hours
A Group / capacity offering (see Create & Manage Offerings) has no single resource of its own — its bookable windows come from the union of every team member linked under that offering's Team section (plus any store-level availability rule, if one is configured), and a confirmed booking does not assign a specific team member to the slot. If a group offering shows customers no times at all, check that at least one linked team member has a saved weekly shift here.
Block time for an exception
Use Date overrides & blocks for unavailable intervals such as leave, maintenance, or a private event.
Describe the block
Optionally enter a Title. Leave it blank when you do not need a label for the blocked period.
Choose the interval
Set Starts and Ends. Both date-time fields are required; otherwise the page shows Choose a start and end. The end must be later than the start or it shows End must be after start.
Save the block
Click Add block. The row appears as Blocked, followed by the title when supplied and the local start and end date-time.
After a successful block, the page clears Title, Starts, and Ends. Add block is disabled while it is saving. Use the trash icon on a block to remove it; as with shifts, removal is immediate and has no confirmation dialog.
Existing non-weekly rules can also appear as Date override rows. This screen displays those rows but provides only Add block—there is no control to add or edit a date override here. You can remove a displayed override or block with its row's trash icon.
Error and empty states
- No upcoming overrides or blocks is a valid empty state; weekly shifts can still produce slots.
- While the linked resource or its rules load, the page shows a loading skeleton.
- If the linked-resource load fails, the page shows an error and a Retry button. If the resource is found but its availability rules cannot load, the shared editor shows its own error and Retry button.
- Store administrators, store staff, and super administrators can open this route. Other signed-in roles see an access-restricted screen; signed-out visitors are sent to sign in.
Troubleshoot unavailable times
If customers cannot book a time, first confirm that this page has at least one weekly shift. Then check Date overrides & blocks for a Blocked row covering the expected interval. If you only see the linked-resource message, an administrator must link an active team-member resource to your account before you can set availability. If either loading error persists after Retry, contact the person who administers appointments for your store.
