Plans, Add-ons & Team Allowances
How to buy and manage the Appointments add-on, understand offering and team limits, and know what remains available after access ends.
Appointments is a paid add-on on every plan. Your plan still decides how many offerings and active Person resources you can have. Buying the add-on unlocks Appointments; it does not raise either plan allowance.
Which plans include Appointments
No plan includes Appointments automatically. Stores on Free, Starter, Growth, Pro, or Max need one active Appointments add-on. A store owner can open Settings → Billing & Plan → Add-ons, find the Appointments card, and select Buy Add-on. The card fixes the purchase at Quantity: 1 Appointments add-on and shows the price available to that store; it does not offer a quantity selector for Appointments.
After activation, the card shows Appointments add-on active and Cancel Add-on. It does not show Add Another App. If another purchase nevertheless reaches the server while the first is active, including after cancellation has been scheduled but the paid period is still running, it is refused with The Appointments add-on is already active.
The add-on does not raise plan allowances
Your offering cap and team-member allowance still come from your plan. There is no separate team-member product to buy.
How many offerings can I create?
Each plan caps the number of active offerings you can have:
| Plan | Offering cap |
|---|---|
| Free | 3 offerings |
| Starter | 5 offerings |
| Growth | 10 offerings |
| Pro | Unlimited |
| Max | 50 offerings |
The Offerings page shows N of M services used on a plan with a finite cap. At the limit it adds you've reached your plan's limit, and a create attempt is blocked with You have reached the limit for services in your current plan. Existing offerings are kept: you can still edit or deactivate them, but you cannot create another until the active count is below the cap or you move to a plan with a larger allowance. Deactivating an offering frees a slot without deleting it. See Create & Manage Offerings → Create an offering.
The Booking page editor uses the same plan gate
Online Store → Pages → Booking page, where you pick a template and per-step formats for the booking funnel's look, requires the Appointments add-on described in Which plans include Appointments. It also requires the separate Online Store, Branding & Templates permission.
The two ways to reach it fail differently, so don't judge one by the other:
- Via the Pages card (Super Admin or Store Admin with Online Store, Branding & Templates access): without the permission or active add-on, the Booking page card is absent.
- Via the direct route (
/online-store/lpe/BOOKING): without the active add-on, owners see Appointments add-on required and View Appointments add-on, which links to the Add-ons tab.
See Booking Experience Editor → Open the Booking page editor for the full walkthrough of both cases.
Team-member allowance by plan
The allowance is the plan's Users limit, applied to active Person resources in Team & Resources. Space and Equipment resources do not count.
| Plan | Active Person resources |
|---|---|
| Free | 1 |
| Starter | 2 |
| Growth | 6 |
| Pro | 15 |
| Max | Unlimited |
There is no separate team-member product in the Add-ons catalogue. The older product is filtered out; buying the Appointments module add-on, where it is offered, does not raise this allowance.
Check usage and upgrade
Go to Sales & Orders → Appointments → Team & Resources. A finite plan shows, for example, 1 of
2 team members used from your plan above the table; the numbers follow your active team members and plan allowance. At the limit it changes to 2 of
2 team members used — you've reached your plan's allowance. Select Upgrade plan to open
/settings/billing and choose a plan with a larger allowance. Max has no cap, so it shows no allowance
banner.
If you try to save another Person at the limit, the dialog remains open and shows You have reached the limit for staff members in your current plan with Upgrade plan. You can upgrade, or deactivate an active Person you no longer schedule before trying again. Creating a Space or Equipment resource is not blocked by this check.
Pay for an available add-on
Open Billing & Plan
Go to Settings → Billing & Plan. The direct route is /settings/billing.
Open Add-ons
Select Add-ons, find Appointments, and select Buy Add-on. Appointments always shows Quantity: 1 Appointments add-on.
Complete hosted checkout
When money is due, BillionBiz opens Razorpay's hosted Checkout. Choose any payment method Razorpay presents for your account and complete it there; BillionBiz does not ask for card fields or a card-saving choice in its own dialog.
Closing hosted Checkout without paying leaves the purchase incomplete. The plan flow reports Checkout closed. No payment was made.; reopen the purchase when you are ready to retry. A payment failure shows the gateway's description when one is available, otherwise Payment failed. Please try again.
If a payment fails and a later retry succeeds, the add-on is activated once for that purchase. A full refund removes the quantity bought by that payment. A partial refund leaves the add-on active and does not change its quantity.
How monthly add-ons renew on an annual plan
The cycle you select on the add-on card matters separately from your store plan's cycle. If your store plan is Annual and you buy an add-on as Monthly, the purchase charges a full month at the displayed monthly base price, plus GST where applicable. It is not prorated to the annual plan's renewal date. The card then shows Renews on [date], one calendar month from the purchase date, and the add-on continues to renew monthly on that own date using your saved default payment method.
If both your store plan and the add-on are Monthly, the existing plan-aligned behaviour remains: the first add-on charge is prorated to the current plan renewal date, and the add-on is included with the plan at renewal. An Annual add-on is also plan-aligned; the separate monthly schedule applies only to a Monthly add-on on an Annual plan.
If a monthly add-on renewal cannot be charged
If there is no saved default payment method, or the saved-method charge fails, the add-on remains active for a 48-hour grace period. BillionBiz retries once after 24 hours. If that retry does not succeed, the add-on is paused at the end of the 48 hours and its card returns to Buy Add-on.
When grace starts, BillionBiz sends one Appointments renewal payment failed message to the store's point-of-contact email. It says the saved method could not be charged, gives the date through which Appointments keeps working, and directs you to add or update the card under Billing. If payment is still incomplete at the grace end, one Appointments paused email says Appointments has paused while your plan and the rest of the store remain unchanged, then directs you to check the card and buy the add-on again. A successful Appointments renewal does not send a separate success email.
Open Add-ons
Go to Settings → Billing & Plan → Add-ons.
Find Appointments
Find the Appointments card.
Select Buy Add-on
Select Buy Add-on.
Complete the purchase
Complete the purchase again.
Check the reactivated add-on
A successful purchase reactivates the existing Appointments add-on at quantity 1 with a new monthly date.
Why does the card show a date two days away?
During the 48-hour grace period, the Appointments card still says Renews on [date], but the date shown is the grace end because this card displays the add-on's expiry date first. The automatic retry is still due after 24 hours. The two-days-away date does not mean your annual plan is renewing.
Find the renewal payment and invoice
A successful own-date renewal creates both a payment and a paid invoice. On the classic skin, go to Settings → Billing & Plan → Plan & Billing → Billing History: use Payments for the charge and Invoices to download its PDF. On v2, go to Settings → Billing & Plan → overview → billing history and use payments or tax invoices; the same invoice is also available from the top-level invoices tab. Match it by issued date, monthly period, and total. Its paid amount also contributes to billing trend → monthly spend on v2 overview.
Cancel the Appointments add-on
Open Add-ons
Go to Settings → Billing & Plan → Add-ons.
Find Appointments
Find the active Appointments card.
Select Cancel Add-on
Select Cancel Add-on.
Check the dialog
When a future paid end is available, the dialog says Cancel your Appointments add-on? Appointments access will continue until [date]. If the row has no date, the dialog says Cancel your Appointments add-on? You will lose access at the end of the billing period.
Confirm the cancellation
Confirm with Cancel add-on. For an undated row, the service first tries to use the active plan's future end for a priced Appointments add-on. If it resolves that date, cancellation is scheduled. It cancels immediately only when no paid period can be identified — for example, a free or complimentary/non-billable grant, a missing catalog price, or an older record with no future add-on or active-plan end date.
Check the result
For a scheduled cancellation, Appointments stays active, renewal stops, the success message says Add-on cancelled. It keeps working until [date]. The card shows Cancelled · active until [date], and Cancel Add-on disappears. The scheduled card has no buy-more action while it is still active. An immediate cancellation shows only Add-on cancelled. If a paid Appointments period unexpectedly has no date, contact support before cancelling.
Return after access ends
After the displayed end date, return to the card and check that its action is Buy Add-on.
Select Buy Add-on
Select Buy Add-on.
Complete the purchase
Complete the purchase to clear the old cancellation state and reactivate Appointments at quantity 1.
The displayed cancellation date uses the expiry date, then the renewal date. A monthly Appointments add-on on an annual plan ends on its own monthly date, not on the plan's annual renewal date.
After the add-on ends
When the add-on is not active, store owners who open an Appointments admin page or the direct Booking editor route see Appointments add-on required, Buy or reactivate the Appointments add-on to use Appointments and the booking experience editor, and View Appointments add-on. The last action opens Settings → Billing & Plan → Add-ons. On the Appointments workspace, staff and vendor users do not get a purchase link; after its backend request reports the restriction, they see Appointments is not available for this store right now. Contact the store owner for help.
New customer bookings stop. The booking page shows Bookings are not available and This store isn't taking online bookings right now. Existing bookings remain available in My Bookings and through guest manage links, where customers can still view, reschedule, or cancel them. Starting a new online deposit or balance payment is blocked; verification can still finish for a gateway order that was already created. See My Bookings & Guest Manage Links.
Troubleshooting
I bought the add-on but Appointments is still locked
Return to Settings → Billing & Plan → Add-ons and check for Appointments add-on active. The admin refreshes add-on and entitlement data after a successful activation. If the purchase success was shown but another open page still has the lock, refresh that page once. Do not buy it again: an active Appointments purchase is limited to one.
Why can't I add another offering?
Check the usage message on Sales & Orders → Appointments → Offerings. If it says you've reached your plan's limit, your plan's active-offering cap has been reached. Existing offerings are kept, but new creation is blocked. Edit or deactivate an existing offering, or change to a plan with a larger cap.
My staff say Appointments isn't available
Staff and vendor users cannot buy add-ons. If they see Appointments is not available for this store right now. Contact the store owner for help., a store owner must buy or reactivate Appointments from Settings → Billing & Plan → Add-ons.
Customers can't book but can still manage bookings
That is the expected split after Appointments access ends. New booking entry points and new online payment orders are gated. Existing-booking routes remain available for viewing, rescheduling, and cancelling through My Bookings or a guest manage link.
Why can't I add another team member?
Check the banner on Team & Resources. If it says you've reached the plan's allowance, do not look
for a team-member product in Add-ons — there is none. Select Upgrade plan to open
/settings/billing, compare the limits above, and choose a larger plan. Alternatively, deactivate an
active Person that is no longer needed. Spaces and Equipment do not consume the allowance.
Why did checkout close without buying the add-on?
Closing Razorpay before payment is a cancellation, not a completed purchase. If you see Checkout closed. No payment was made., start the purchase again. If Razorpay does not open, refresh once and retry; the plan flow reports Razorpay SDK not loaded. Please refresh the page and try again. when its hosted script is unavailable.
What happens after I retry a failed add-on payment?
When the retry succeeds, the purchase activates the add-on once. Refresh Settings → Billing & Plan → Add-ons if another open page has not updated yet; the card reads Appointments add-on active.
My add-on stopped working
For a Monthly add-on on an Annual plan, the add-on keeps working for 48 hours after its own monthly renewal fails and retries once after 24 hours. After an unsuccessful retry it is paused and the active badge disappears.
Open Add-ons
Go to Settings → Billing & Plan → Add-ons.
Find the paused add-on
Find the paused add-on and check that its card shows Buy Add-on.
Select Buy Add-on
Select Buy Add-on.
Complete the purchase
Complete the purchase again to restart it.
Why does the card show a date two days away?
The Appointments card prefers the expiry date when it displays Renews on [date]. During a failed renewal's 48-hour grace period, that expiry is the grace end, so the visible date can be two days away even though the one automatic retry happens after 24 hours.
I was charged for renewal but cannot find the invoice
Open payment history
On the classic skin, go to Settings → Billing & Plan → Plan & Billing → Billing History → Payments. On v2, go to Billing & plan → overview → billing history → payments.
Match the payment
Match the successful renewal by date and amount.
Check the invoice lists
Check Invoices / tax invoices and the v2 invoices tab again.
Contact support
If the invoice is still missing, contact support with the charge date and amount.
What happens to my add-on after a refund?
A full refund removes the quantity bought in that payment. If other units remain, the add-on stays active at the lower quantity. When none remains, the add-on no longer counts as active at all: both the standalone Add-ons screen and Billing & Plan → Add-ons drop the active badge, and the card's action is Buy Add-on, the same as an add-on that was never purchased. A partial refund leaves the add-on active at its existing quantity.
The Appointments menu doesn't look right for my plan
The Appointments item in the sidebar is never hidden or removed based on plan — it's always visible to roles that can otherwise reach it. What changes is what the page shows once you open it: eligible roles with an active add-on render the module, owners without one see the add-on lock, and staff or vendor users see contact-the-owner guidance. If the Booking page card is missing as well, check the separate Online Store, Branding & Templates permission.
