Team: People, Seats & Access

Add the people who work in your store, choose what each one can do with four switches, keep track of plan seats, and manage each vendor's team from one place.

The Team page is where you manage every person who works in your store: the front-desk cashier, the stylist who takes bookings, the manager who needs an admin login, and the people on your vendors' teams. Each person is one record with four independent switches, and each person uses one plan seat however many switches are on.

Screen: Team → Team in the new sidebar, or Team → Team in the classic sidebar. Vendor teams are on Team → Vendor teams in both. See Where to find it.

What the Team page gives you

  • One record per person with four switches: Admin login, Takes bookings, Counter (PIN), and Commission. Turn on only what each person needs.
  • Counter access without Appointments. A cashier does not need the Appointments feature switched on.
  • A seat strip showing plan seats used, the split between your store team and vendor teams, and the separate counter seats.
  • Vendor teams in one place, with one section per vendor and its people listed inside it.
  • Search and Group by on the Store team, and search, sort and filter on Vendor teams, so a long list stays easy to scan. Both lists are split into pages of 10, 25 or 50 once they grow past 10 entries.

Who can open it

RoleStore teamVendor teams
Owner / Super AdminFull page. Can change admin logins and commission.Sees every vendor's team, can add people to any vendor, and, as the store owner, can manage each teammate from the three-dot button on their row.
Store AdminCan open the page, add people, and turn Takes bookings and Counter on or off. The Admin login switch is read-only ("Only a Super Admin can change logins."), the Commission card is hidden, and Remove person is greyed out for anyone who has an admin login ("Only the Super Admin can remove someone who has a login.").Sees every vendor's team and can add people to any vendor, but the teammate menu is hidden: only the store owner can manage teammates.

Vendor AdminCannot open the page.Sees only their own vendor's team, read-only. See the vendor-admin view.

Anyone without access who opens the address directly sees an access-restricted message instead of the page, and the Team group does not appear in their sidebar.

Staff and Appointments

What a Staff login sees depends on whether your store has Appointments. Staff cannot open the Team page either way; this is about the screens they land on and the sidebar they get.

Your storeWhere Staff land after signing inAppointments in their sidebar
Has the Appointments add-on, and the person Takes bookings (they are linked to a bookable team member)My Day (/appointments)Yes, in both the classic and the new sidebar
Has the Appointments add-on, and the person does not take bookings (a front-desk or retail teammate)DashboardYes
Has no Appointments add-on and has never recorded an appointment bookingDashboardNo. Hidden in both the classic and the new sidebar

On a store in the third row, a Staff member who types or bookmarks /appointments is sent straight to Dashboard. For a moment before that they see a small loading spinner while BillionBiz confirms the store has no Appointments; no Appointments data is requested for them. The same redirect applies to the other two Appointments screens a Staff login can open, New booking (/appointments/new) and My availability (/appointments/my-availability). The admin-only screens (Offerings, Resources, Settings) still show Access Restricted to Staff, as before. The person's Takes bookings switch has no effect on a store without Appointments: they are treated as a front-desk teammate and get the Dashboard-first view.

Stores that have the add-on are unchanged. So is a store that cancelled the add-on after taking bookings: Appointments stays in the sidebar, and the page itself explains that the add-on is not available. If BillionBiz cannot tell whether your store has Appointments (the check failed to load), nothing is hidden and Staff see the same screens as before.

Why can't my staff see Appointments? The add-on is not on your plan, and no appointment bookings have ever been recorded. Appointments is a paid add-on on every plan, and only the store owner can buy it: sign in as the owner, open Settings → Billing & Plan → Add-ons and select Buy Add-on. Once it is active, ask the Staff member to refresh the page; Appointments returns to their sidebar. For the full add-on rules see Appointments Troubleshooting & Access.

Where to find it

In the new sidebar, the Team group holds Team (opens /team) and, when your store runs vendors, Vendor teams (opens /team/vendors). In the classic sidebar the same people are in a Team section holding Team (opens /team) and, when vendors are on, Vendor teams (opens /team/vendors). In both skins the group shows for the owner and Store Admins only. The Settings hub Team card also opens /team, and the classic sidebar's counter group keeps a Cashier access link that opens this page filtered to Counter (/team?filter=counter). Typing /team in the address bar works for everyone with access. The old Users address (/users), the invite address (/users/invite) and the edit address (/users/ plus a user ID /edit) now redirect here, keeping any filters in the link. The edit address opens that person's own page (see Old edit links); a Vendor Admin who opens them lands on Vendor teams instead, which is also where a Vendor Admin's own Team sidebar entry goes (/team/vendors).

The five roles at a glance

The Admin login switch gives a person one of these roles. People who only work the counter or take bookings do not need one.

RoleWho it's forCan doCannot do
Owner / Super AdminThe business owner or primary account holderEverything: billing, subscription, changing logins, finance (payouts, settlements, transfers), store settings, and all operational screensNothing restricted
Store AdminA trusted manager running day-to-day operationsOrders, products, customers, marketing, online store design, analytics, reports, vendor management; can add people to the Team pageBilling, changing anyone's admin login, commission, finance screens
StaffFrontline team: pickers, support, content writersProcess orders, manage products and inventory, handle tickets, use couponsReports, online store design, branding, marketing configuration, finance, admin settings
Vendor AdminThe owner of a seller shop in your marketplaceManages their own products, orders, shipments, coupons, tickets, and performance dataSee other vendors' data, store-wide settings, finance, customer records outside their own orders
Vendor StaffAn employee working inside a vendor shopDay-to-day tasks within that vendor's scopeManage the vendor shop's own settings or team

Note

The left navigation enforces these boundaries. A Staff member never sees a Finance link, and a Vendor Admin never sees another vendor's listings.

The Store team list

Open Team → Team. The page title is Team, with the line "Each person has four switches. Turn on only what they need. Counter access doesn't need Appointments." and an Add person button at the top right. The button is greyed out while BillionBiz cannot read your plan's seat limit; see The seat strip.

Every person has a round avatar with their initials, in the list, in the seat strip and at the top of their own page. The owner's avatar is dark so you can spot it. Avatars are initials only; there are no photos to upload. Roles and states appear as small coloured tags (for example Owner, Super admin, Store admin, Store staff, Invited, Cashier, Off), so "Store staff" is a tag like the others, not plain text.

On a narrow screen (a phone, or a window under about 780 pixels wide) the same list shows as one card per person: the name and email on top, then the Admin login, Takes bookings, Counter (PIN) and Commission tags, each with its column name above it. Tap a card to open the person. Nothing is missing compared with the table.

The seat strip

Above the list, two boxes show your seats.

Plan seats · 1 per person, vendors included is the big box. It shows the number of people using a plan seat, then the limit ("of 5"), or "Unlimited" on a plan with no cap. Beside the number is a stack of your team's avatars (the first five, then "+N" for the rest). A segmented bar fills one segment per seat as you use them; on a plan with many seats it becomes a thin continuous bar. In the top right corner of the box a small seat meter chip tells you where you stand:

ChipMeaningWhat to do
N left (for example "2 left")You have N free plan seats. The chip is shown from empty up to one seat short of the limit; once you are at 80% or more the last filled segment of the bar turns to a warning colour.Nothing yet. Plan ahead if N is small.
FullUsed equals the limit. Nobody else can be added.Remove someone you no longer need, or click Upgrade in Billing.
Over limitUsed is above the limit (for example after a downgrade). Existing people keep access.Remove people or upgrade before adding anyone new.
No chip, and "Unlimited" next to the numberYour plan has no seat cap.Nothing.

Underneath the bar:

  • Store team N is the number of people on your own team.
  • Vendor teams N is the number of people on vendors' teams. Together, Store team and Vendor teams add up to the number of plan seats used.
  • A grey line reads "X have admin login · Y take bookings · Z at the counter" (the verbs follow the number, so one person reads "1 has admin login · 1 takes bookings"). These three numbers overlap (one person can be in all three) and are for information only. They are not limits.
  • Whenever someone is counted at the counter, an italic note follows: "Includes the owner PIN, which uses no cashier seat." The owner's counter PIN is counted in "Z at the counter" but takes no cashier seat, so Z can be one higher than the Counter seats number in the box next to it. That is expected.

Vendor teams N is a button. Click it to expand a list of vendors, each shown as "Vendor name · N people" (a vendor with one person reads "Vendor name · 1 person"). Click a vendor to see its people as "name · role · status". Each person is a link that opens Vendor teams at /team/vendors?vendor= plus that vendor's ID: the page scrolls to that vendor's card and outlines it in green. If the ID matches no vendor, the page just opens at the top. If you have no vendors yet it reads "No vendor teams yet."

Counter seats · POS is the smaller box. It shows how many counter seats are used out of the number your POS add-on includes (base seats plus any extras you bought), or "Unlimited". The note under it reads "Each cashier also uses 1 plan seat". Counter seats are a separate pool: a cashier needs a free seat in both pools. The owner uses a plan seat but never a counter seat. When every counter seat is used, the box shows a Full chip (or Over limit if you are above the number) and the note is replaced by a Review extra seat in Billing button, which opens Billing so you can add an extra counter seat.

When the strip is full or short of information, it says so:

What you seeWhat it means
"All seats used. Remove someone or upgrade in Billing to add a person." with an Upgrade in Billing buttonPlan seats are at the limit. You cannot add another person. Upgrade in Billing opens the Billing page (/settings/billing) where you can change plan.
"Your store is over its plan limit. Existing people keep access, but you can't add anyone until you upgrade or remove someone." with the same Upgrade in Billing buttonYou are already above the limit. Nobody is removed or locked because of the new count; only new additions are blocked.
"limit unavailable" next to the count, and under the bar "We can't check your seat limit right now, so adding people is paused. Refresh to try again."BillionBiz could not read your plan's limit, so it does not treat the plan as Unlimited. The Add person button at the top right is greyed out until the limit loads. A greyed-out button shows no hover tip; this note is the explanation. Refresh the page, as the note says, and wait for the bar to show a number.
Review extra seat in Billing in the Counter seats boxAll counter seats are used. The button goes to /settings/billing, where you can add an extra counter seat.
"Counter seats unavailable right now" in the Counter seats box, with a notice above the stripBillionBiz could not read your counter status this time. See When some details can't be loaded.

When some details can't be loaded

Counter and appointment status come from a separate service. If that service is slow or does not answer when the page loads, the Store team still opens instead of failing. Instead you see a calm notice above the seat strip:

Some details could not be loaded, so appointment status may be out of date. Retry

At the same time the Counter seats · POS box replaces its numbers with "Counter seats unavailable right now", so you are never shown a made-up "0 of N".

Read what is affected

Only the appointment status and the counter-seat count are in doubt. Your people, their switches, the plan seat count and the filters all show as usual, and nothing on the page is hidden or greyed out because of the notice.

Click Retry

Retry is a link-style button at the end of the notice. It reloads the Team data. When the status loads, the notice disappears and the Counter seats box shows its numbers again.

If it keeps appearing

Wait a minute and click Retry again, or refresh the page. The notice is a temporary read problem, not a change to your plan or your team; nothing was removed. Treat the appointment status and counter-seat count as unconfirmed until it clears.

The notice is on the Store team only. The Vendor teams page does not show it.

Filters and columns

A row of filter chips sits above the list. Each chip shows a count: All, Admin login, a chip named after the people who take bookings (Staff (bookings) by default), Counter, Commission (Super Admin only), and Deactivated. The chip you pick is kept in the address (for example ?filter=counter), so you can bookmark it.

ColumnWhat it shows
PersonAvatar, name, and email underneath. A person with no email shows "No email · counter only" when the counter is their only access (no admin login and no bookings); any other person with no email shows just "No email".
Admin loginA tag: Owner for the owner; otherwise their role (Super admin, Store admin, Store staff), Invited until they accept, None, Deactivated, or Paused by plan. An admin login that is waiting to be accepted shows Invited, or Invite expired once its link has lapsed (see Invited, Invite expired and Resend invite).
Takes bookingsOn · Staff (the word is your store's name for the people who take bookings) or Off.
Counter (PIN)An Owner PIN chip for the owner, with the single small line "No cashier seat" under it; Cashier (or Manager for an existing manager seat) when active; Off; or Paused by plan.
CommissionSuper Admin only. Shows the services percentage, or a dash if none is set.

The word for people who take bookings comes from your store's appointments setup. If none is set it reads Staff.

If you are the only person, a dashed box titled "Your team starts with you" says "It's just you so far. Add a person to give them counter access, bookings or an admin login. You don't need Appointments switched on." Click Add your first person in it to open the same Add person dialog as the top-right button. Like that button, it is greyed out while the seat limit cannot be read. If every plan seat is already in use, the box says "It's just you so far, and every seat on your plan is in use. Upgrade to add your first person." and shows an Upgrade plan button instead, which opens Billing (/settings/billing) rather than the dialog. The search box and Group by control described below are not shown while you are the only person. The box does not appear once you add anyone, or while a filter other than All is selected. A filter with nobody in it shows "Nobody matches this filter."

Click a row, or press Enter on it, to open that person's page.

Search and Group by

As soon as your team has at least one person besides you, a toolbar appears between the filter chips and the table. It holds a search box on the left and the Group by control on the right. With only the owner on the team the toolbar is hidden.

ControlWhat it does
Search by name or email boxType part of a name or an email address and the list narrows to matching people. The match ignores capital letters and accents, and the list updates a moment after you stop typing. While you search, a count such as "3 of 18" appears next to the box: the number matching, out of the people the current filter chip shows. The small clear button in the box (named Clear search) empties it.
Group byFour choices: Access, Role, Status and None. Access is selected the first time you open the page.

Search and the filter chips work together: the chip narrows the list first, then the search narrows what is left. Searching never changes the chip counts. If nothing matches, the table is replaced by "Nobody matches "(what you typed)"." with a Clear search link.

What each Group by choice contains

Each person appears in exactly one group. The groups keep a fixed order, and a group with nobody in it is not shown. Each group header shows the number of people in it, counting only people who match the current chip and search.

Access (the default) groups by what the person can do. The first rule that fits wins:

GroupWho is in it
OwnersThe store owner.
Admin loginAnyone with an admin login that is on, paused by plan, or invited but not yet accepted, whether or not they also take bookings or use the counter.
Staff (bookings)People who take bookings and have no admin login. The word before "(bookings)" is your store's name for the people who take bookings, so it can read differently.
Counter onlyPeople whose only access is the counter (on, or paused by plan).
No accessActive people with none of the switches on.
DeactivatedPeople who were deactivated. This is checked before Admin login, so a deactivated person who used to have a login is listed here, not under Admin login.

Role groups by title: Owner, Super admin, Store admin, Store staff, Counter manager, Cashier and No role. Anyone who has an admin login, even a deactivated one, is placed by their login role. People with no login are placed by their counter role (Counter manager or Cashier), and everyone else is under No role.

Status has three groups: Active, Invited (the admin login invite has not been accepted yet) and Deactivated. Deactivated is checked first, then Invited, so a deactivated person is never listed as Invited. There is no separate owner group here, so the owner is under Active.

None turns grouping off and shows one flat table, in the order the page loads them.

Collapse and expand a group

Each group header is a button with a caret, the group name and a count. Click it to hide that group's rows; click it again to show them. The header stays pinned at the top of the table while you scroll through a long group. Collapsed groups are not remembered: switching Group by opens every group again, and so does reloading the page.

Your choice is remembered

The Group by you pick is saved in your browser, so the Store team opens the same way next time on that browser. It is stored per browser, not per account: another computer, a private window or cleared site data starts at Access again. If your browser blocks storage the choice lasts only for that visit. Search text and collapsed groups are never saved.

"Unnamed person"

If BillionBiz has no readable name for someone, their row shows Unnamed person in grey italics instead of a name. Identify them by the email under it (or by the "No email" line). The placeholder is not searchable text: search by their email instead.

Pages of people

A long Store team is split into pages so the table stays quick to scroll. The page controls sit directly under the table.

ControlWhat it does
People per pageChoose 10, 25 or 50. The first time you open the page it is 25. The choice is not remembered: reloading or leaving the page puts it back to 25.
Range, for example "1–25 of 60"Which people you are looking at, out of everyone the current filter chip and search match.
Previous page / Next page arrowsMove one page at a time. An arrow is greyed out on the first or last page. There are no jump-to-first or jump-to-last buttons.
  • When the controls appear. They are hidden while 10 or fewer people match, so a small team never sees them. If a search or filter narrows a long list to 10 or fewer, they disappear and you see everyone on one page.
  • Search and filters. Paging applies to the people who match. Picking a filter chip, typing a search, clearing it, or changing Group by takes you back to page 1. Changing People per page also returns to page 1. The "3 of 18" search count and the chip counts still count across all pages, not just the current one.
  • Grouped lists. With Group by on Access, Role or Status, the groups are laid out one after the other and the pages are cut through that whole sequence. If a group runs past the end of a page, its header appears again at the top of the next page above the rest of its people. The number on a group header is the whole group (for example 12), not how many of them are on this page. None shows one flat table.
  • Collapsed groups. Collapsing a group hides its rows but the people still count toward the page, so a page can look shorter than 25 rows while collapsed groups sit on it. Expand the group, or go to the next page, to see the rest.
  • After a change. If you remove or deactivate someone and the page you were on no longer exists, the list moves to the last page that does.

Troubleshooting: where is the search box or Group by?

The toolbar only appears once there is a second person on the team. If you are the only person you see the "Your team starts with you" box instead. If a person seems missing, check the filter chip above the table (a chip such as Counter hides everyone else), clear the search box, and remember that a collapsed group hides its rows: the header still shows the count. Deactivated people are under the Deactivated group (or chip), not under the group they used to belong to. On a team of more than 10 matching people, check the page controls under the table: the person may be on the next page. Use the search box to jump straight to them.

Add a person

Click Add person

On Team → Team, click Add person. A dialog opens. A link such as /team?add=1&counter=1 opens it with Counter already switched on; the Counter devices screen uses this.

Enter a name

Name is required. Everything else depends on the switches below.

Choose what they can do

Under What can they do? turn on only what this person needs. The four switches are explained next.

Check the seat note and save

The note at the bottom reads "Uses 1 plan seat". Click Save person.

The four switches

SwitchWhat it doesFields it opens
Admin loginLets the person sign in to the admin panel. They get an email with an invite link to set a password. Only a Super Admin can switch this on; for a Store Admin it is greyed out with "Only a Super Admin can give someone an admin login."Email (required, must be a valid address), and Role: Store staff or Store admin.
Takes bookingsPuts the person on the appointments calendar and in the booking picker, so customers and your team can book them. Greyed out with "Turn on Appointments in Billing to take bookings. Counter access doesn't need it." when your store does not have Appointments.Services: pick the services they can be booked for (you can leave it empty and set it later).
Counter (PIN)Gives the person a PIN to sign in on your POS counter devices. Uses one counter seat as well as the plan seat.A fixed Cashier label (the counter role is always Cashier); PIN (6 digits), digits only. See PIN rules.
Commission (optional)Sets what the person earns on counter sales. Shown to the Super Admin only.Services % and Products %, each from 0 to 100.

Save person is greyed out while Counter (PIN) is on and every counter seat is in use. Counter access needs a free cashier seat, so BillionBiz will not let you save a counter person it cannot seat. A red note under the seat line explains it: "All counter seats are in use (N of M). Save without counter access, or free a seat from another person's Counter (PIN)." Nothing is created. To get Save back, do one of these:

  • Switch Counter (PIN) off in the dialog and save the person without counter access. You can give them counter access later from their page.
  • Free a counter seat first: close the dialog, open another cashier's page and switch their Counter (PIN) off (see Counter (PIN)), then add the person again. If that cashier only works the counter, switching them off also deactivates them.
  • Close the dialog and click Review extra seat in Billing in the seat strip (it replaces the seat note in the Counter seats box once the pool is full) and add an extra counter seat, then reopen Add person.

When your plan has no counter seats at all, the red note does not say "in use (0 of 0)". It reads "Your plan has no counter seats. Save without counter access, or add counter seats in Billing." and Save person is greyed out while Counter (PIN) is on. Switch Counter off to save the person without counter access, or add counter seats in Billing and reopen Add person. If the server refuses a save for the same reason, the dialog shows the same sentence.

Save is also greyed out while you are saving, and while the plan seat line at the bottom of the dialog reads "All plan seats are used. Remove someone or upgrade in Billing to add a person." or "We can't check your seat limit right now, so adding people is paused. Refresh to try again." When the plan is full or the limit cannot be read, that line is shown as a warning alert in the dialog's error styling, instead of the plain grey "Uses 1 plan seat" note, so the reason is visible without hunting for it. When the plan is full, the alert also ends with an Upgrade in Billing link that opens Billing (/settings/billing); it is not shown while the limit cannot be read. In those cases switching Counter off does not help, because every new person uses a plan seat; free a plan seat or upgrade.

If you switched Admin login on and the email already belongs to someone on your team, nothing is created and the dialog shows "Someone with this email is already on your team. Use a different email." Change the Email and click Save person again. The Email field itself also turns red, with the line "This email is already in use. Enter a different one." under it, and stays red until you change the address, so you can see which field to fix. The check only applies when Admin login is on, because that is the only switch that uses the email.

The one exception is a person you earlier removed from Team: their email is not refused, it restores them (see Add back someone you removed). A person who is only deactivated, or still active, is refused.

The Move a seat list is on a person's page, not in this dialog.

A person added with no switches on still uses a plan seat once saved. You can switch things on later from their page.

After you save

When everything saves, the dialog closes and a green confirmation message appears:

  • "Saved Ravi." for a person added without an admin login.
  • "Saved Ravi. Invite sent to ravi@example.com." when Admin login was on and an email was entered, so you know the invite email went out.

The new person appears in the list straight away; if the list is long they may be on a later page, so search for the name. If any switch fails the dialog stays open instead, see When some switches do not save. No green confirmation appears in that case.

Add back someone you removed

Use this when you removed a person with Remove person and now want them on the team again, with their history on the same record.

Sign in as the Super Admin

Restoring works through the Admin login switch, and only the Super Admin can switch it on. A Store Admin sees the switch greyed out with "Only a Super Admin can give someone an admin login."

Open Add person

On Team → Team, click Add person.

Enter the name and the removed person's email

Type the Name you want shown (it replaces the old name on the restored record). Switch Admin login on, then enter the Email the person had before you removed them, and choose a Role (Store staff or Store admin).

Turn on what they need

Switch Takes bookings, Counter (PIN) or Commission (optional) on only if they need it now. Takes bookings is on for a restored person only if you switch it on here, and they are not offered for online booking until you change that on their page.

Check the seat note and save

A restored person uses one plan seat, the same as any new person, so the seat note and the plan-full alert behave exactly as in Add a person. Click Save person.

What happens. BillionBiz finds the removed person by that email and restores their existing record instead of creating a second one, so they reappear on the list. Their old password never works again: they get a fresh invite email with a link to set a new password, and the role you picked applies. The dialog closes as usual when everything saves.

If Counter (PIN) fails for a restored person. A person who had counter access before you removed them still has a disabled counter profile linked to them, so switching Counter (PIN) on in this dialog can fail. The dialog stays open and shows "Counter: failed: POS_STAFF_NOT_ELIGIBLE" while the rest is saved. Close it, open the person's page and turn Counter (PIN) on from there, which needs a free counter seat (see Counter (PIN)).

This is not the way to bring back a deactivated person. Someone who was deactivated rather than removed is still listed under the Deactivated chip and still owns their email. Adding that email again is refused with "Someone with this email is already on your team. Use a different email." Open them from the Deactivated chip and turn the relevant switch back on instead (see Enabling, disabling, and removing access).

When some switches do not save

If one switch fails (for example the invite email could not be sent), the dialog does not close. It shows "Saved Ravi" with one line per switch, such as "Counter: on" or "Login invite: failed: CODE". The person is saved; open their page to retry the failed switch. Click Done to close.

A person's page

Click a row on the list to open the person's page. The header shows their avatar and name, one line about seats: "Uses 1 plan seat, however many switches are on. Also uses 1 counter seat while Counter is on." (for the owner: "The owner uses 1 plan seat and never takes a counter seat."), and an Access N of 4 line with four small bars, one per switch. It counts how many of Admin login, Takes bookings, Counter (PIN) and Commission this person has on ("Access 2 of 4"); Commission counts only once a percentage above zero is saved, and a login paused by your plan still counts as on. Each switch card lights up with a coloured edge and icon while it is on. Click Store team at the top to go back.

Each switch is its own card, with its own save and its own error message, so a failure on one card never undoes another.

Admin login

  • Shows On with "Role: Store staff · email", or "No admin login yet."
  • To turn it on, choose a Role next to the switch and flip it. A person who already has an email gets the invite straight away. A person with no email (for example someone added with only Takes bookings) can be given a login too; see Give someone without an email a login.
  • To turn it off, flip the switch and confirm Turn off admin login? with Turn off login. The confirmation says "This also turns off Counter access. Their PIN and history are kept."
  • If the person's email is already used by someone else on your team, flipping the switch on shows "Someone with this email is already on your team. Use a different email." in the Admin login card and the login stays off. The other cards are not affected.
  • The owner's login cannot be switched off ("The owner's login can't be switched off."). A Store Admin sees the switch read-only.

Invited, Invite expired and Resend invite

A person whose admin login was switched on but who has not yet set a password is Invited. On the list the Admin login tag reads Invited, and on Group by → Status they sit in the Invited group. On their page the Admin login card adds a line under the role:

Line on the cardMeaning
"Invited: waiting for them to accept."The invite email's link is still valid. A Resend invite text button sits beside it.
"Invite expired: send a new one."The link has lapsed. The tag on the list reads Invite expired and Resend invite is a filled button.

Open the person

Go to Team → Team and click the person's row. Find the Admin login card.

Click Resend invite

Only the Super Admin sees Resend invite; a Store Admin sees the status line without the button. The button is greyed out while the card is saving.

Confirm it went

A green confirmation reads "New invite sent to (their email)." The person gets a fresh set-password email, and an expired invite is replaced by a working one.

If it fails, the card shows "Couldn't send the invite. Try again." in red and nothing is sent. The card shows the same message whatever the cause, so work through these in order: the person may have accepted the invite or been deactivated in the meantime (Resend invite only works for someone who has not accepted; refresh the page to see their current state); the email saved for them may be unreadable (remove them and add them again with the correct email); or the connection dropped (try again). Resend invite cannot be used on the owner or on someone who is already active, so it can never act as a password reset for a live account. Someone who has forgotten the password of an accepted account uses the sign-in screen's reset link instead.

Turn a login back on with a role

A person whose admin login was switched off appears under the Deactivated chip. To give them the login back, open their page, then:

Pick the Role first

Next to the Admin login switch, choose Store staff or Store admin. The picker starts on the role the person had before their login was switched off, so a former Store admin comes back as Store admin unless you change it. People who never had a login start on Store staff.

Flip the switch on

The login turns back on and the Role you chose is the role they get, whether it matches the old one or not. This needs a free plan seat.

When the role is different from the one they had, BillionBiz ends that person's saved sign-ins, so they sign in again to pick up the new role. If they land with the wrong role, switch the login off and on again with the right Role picked; remember that turning the login off also turns off Counter.

Bookmarks, notifications and Audit Logs entries from before the Team page link to a person by their user ID (/users/ plus the ID /edit). That address now opens the person's own page and the address bar changes to the Team page address for that person. If no one on your team has that user ID, you see "We couldn't find this person." with a Back to Team link, for example when the person was removed.

Give someone without an email a login

Use this when you added a person with no email (for example with only Takes bookings on) and now want them to sign in to the admin panel. You must be the Super Admin; a Store Admin sees the switch read-only.

Open the person

Go to Team → Team and click the person's row. Find the Admin login card, which reads "No admin login yet."

Pick the Role

While the login is off, a Role picker sits next to the switch: Store staff or Store admin. Choose it first; the form that opens in the next step does not ask for a role.

Flip the Admin login switch on

The switch is no longer greyed out for a person with no email. The hint under it reads "Turn on to add their email and send a login invite."

Enter their email

Flipping the switch opens a small form in the card. Type their address in Email; the helper reads "We'll email them an invite to set a password."

Click Send invite

Send invite is greyed out until the email is a valid address. Click it and the person gets an email invite to set a password. The card then shows On with their role and email. Cancel closes the form and leaves the login off.

The person keeps the plan seat they already hold, so one person is still one seat however many switches are on (see The seat strip). A seat is used only if they did not already hold one, for example a person you had deactivated.

If the email already belongs to someone on your team, the Admin login card shows "Someone with this email is already on your team. Use a different email." and the login stays off; change the Email and click Send invite again. If your plan has no free seat for them, the Admin login card shows "Your plan has no free seat for this change."; free a seat or upgrade in Billing first.

Takes bookings

  • When on, the card says "Shows on the calendar and in the booking picker as Staff." When off: "Not bookable."
  • To turn it on, flip the switch, choose Services (what they can be booked for), and click Turn on bookings. Once on, the More schedule settings button opens the person's availability screen in Appointments for breaks and leave (shown only when the person has a calendar record).
  • My availability (the person's own page in Appointments) shows in the sidebar only to a staff member who takes bookings. Turn this switch off and it disappears from their sidebar. On a store without the Appointments add-on it never shows, whatever this switch says; see Staff and Appointments.
  • To turn it off, flip it. If the person has upcoming appointments, it is blocked: "Can't turn off while Name has 3 upcoming appointments." with a Reassign them button that opens the calendar filtered to that person. With exactly one it reads "Can't turn off while Name has 1 upcoming appointment." Move or cancel those appointments, then try again.
  • The switch is disabled, with "Turn on Appointments in Billing to take bookings. Counter access doesn't need it.", when Appointments is not switched on.

Counter (PIN)

  • Shows "Cashier · PIN set" (or "Manager · PIN set" for an existing manager seat), "Counter access is off.", "Paused by plan.", or for the owner "Owner PIN · no cashier seat". The owner's switch cannot be changed.
  • To turn it on, flip the switch (the role shows as a fixed Cashier), enter a PIN (6 digits), and click Turn on counter. A PIN that breaks the PIN rules shows its message under the field and nothing is sent.
  • If every counter seat is used, you see "All counter seats are used. Move a seat from someone else, or review extra seats in Billing." the moment you flip the switch on, with the Move a seat from list right under it. You do not have to try and fail first. Turn on counter stays greyed out until you pick a person in that list (the placeholder reads "Choose a person"); then click it and that person loses counter access while the seat moves to this one. The list appears for a first grant and when switching access back on. Moving a manager's seat needs the owner. Or switch another person's Counter off, or buy another seat in Billing.
  • To turn it off, flip it. "Turning this off keeps their PIN and history and frees the counter seat." What happens to the plan seat depends on what else the person has:
    • They have another way in (an admin login, or Takes bookings): they stay active and keep their plan seat. Only the counter seat is freed.
    • The counter was their only access (no admin login, not bookable): switching Counter off deactivates the person and frees their plan seat as well as the counter seat. There is no extra confirmation, so check the person's tags before you flip it. They move to the Deactivated chip on the list, their Admin login tag reads None and Counter reads Off, and they no longer count toward your plan seats. Nothing is deleted: their PIN and history are kept.
    • To bring a deactivated counter person back, open their page from the Deactivated chip, flip Counter (PIN) on, enter a PIN and click Turn on counter. This needs one free plan seat and one free counter seat; if either pool is full you see the seat-full message instead and they stay deactivated until you free a seat or upgrade.
  • Moving a seat does not deactivate anyone. When you use Move a seat from to give a counter seat to another person, the person who gave it up loses only their counter access. They stay active, keep their plan seat, and remain on the list with Counter shown as Off, even if the counter was all they had. They are not listed under the Deactivated chip: they stay under All with Counter Off. Unlike a person you switched off yourself, they still use a plan seat until you remove them. To give them the counter back, flip Counter (PIN) on again (a free counter seat is needed); if you no longer need them, use Remove person on their page.

Reset a PIN

The card shows a Reset PIN button when the person's Counter is on, or when the person is the owner ("Owner PIN · no cashier seat"), the person has a counter PIN on file, and your role can manage the counter. For the owner this is the only place to reset the owner PIN. It is not shown for a person whose Counter is off or paused, for an owner who has no counter PIN set up yet, or if your role cannot manage the counter.

Open Reset PIN

Open the person's page, scroll to the Counter (PIN) card and click Reset PIN.

Type the new PIN

Enter it in New PIN (6 digits). The field is masked and accepts digits only. A PIN that breaks the PIN rules shows its message under the field.

Save

Click Save new PIN (or Cancel to leave without changing it). On success the card says "PIN updated. Share it with them privately." Give the new PIN to the person in person; they use it the next time they sign in at the counter.

PIN rules

A counter PIN must be exactly 6 digits, must not be one digit repeated (for example 111111), and must not be a straight run of digits going up or down (for example 123456 or 654321). The same rules apply on Add person (Counter switch), on Turn on counter and on Reset PIN. The page checks the PIN before it sends it, and the server checks it again when you save.

MessageWhen you see it
"Enter a 6 digit PIN."The PIN is not exactly six digits (too short or empty). The field takes digits only and stops at six.
"Pick a PIN that isn't one repeated digit or a straight run like 123456."The PIN is six digits but is one repeated digit or a straight run up or down.
"Another person at the counter already uses this PIN. Choose a different one."The server refused it because another cashier at your store already has that PIN. Choose a different six digits.

On Add person a refusal shows its message in the dialog; if the person was saved but the Counter switch failed, the result list shows the same message next to Counter (PIN) instead of an error code. On a person's page the message appears in the Counter card. There is no Forgot PIN link on the counter: an owner or an admin who can manage the counter resets it here.

Commission

Visible to the Super Admin only, labelled Optional. Set Services % and Products % (0 to 100) and click Save. Anything outside 0 to 100 shows "Enter a percentage from 0 to 100."

Transfer Super Admin ownership

The owner hands the Super Admin role to another team member from the Admin login card on the owner's own page. The button appears only on the owner's page, only while the owner's login is on, and only for the Super Admin (a Store Admin never sees it; the card reads "Only a Super Admin can change logins."). You cannot disable or demote yourself any other way.

Open your own page

In Team → Team, click your own row. On the Admin login card you see "Hand the Super Admin role to another team member. You'll be signed out after the transfer." and the button Transfer Super Admin ownership.

Choose the new Super Admin

Click the button. The dialog Transfer Super Admin Ownership explains that you will be demoted to Store Admin and warns that you cannot undo it yourself: the new Super Admin has to transfer ownership back. Pick the person in Select New Super Admin and click Transfer Ownership. If the list is empty the dialog says "No eligible users found. Create a Store Admin user first to enable ownership transfer." Add a person with an admin login and the Store Admin role first (see Add a person).

Confirm

The Confirm Transfer dialog asks "Transfer Super Admin role to (name)?" Click Confirm Transfer. You see "Super Admin role transferred to (name)", then "Your role has changed — please log in again" and you are signed out.

You'll be signed out

Transferring ownership demotes your own account immediately. BillionBiz signs you out so that the rest of the session does not run with a stale Super Admin view. Sign back in as a Store Admin; the new Super Admin can now change logins and see Commission. If the transfer fails you see "Failed to transfer Super Admin role" and nothing changes.

Enabling, disabling, and removing access

  • Take away part of someone's access: turn off the relevant switch on their page. Turning off Admin login also turns off Counter. Turning off Counter for a person whose only access is the counter deactivates them and frees their plan seat (see Counter (PIN)).
  • Remove a person completely: click Remove person at the bottom of their page and confirm with Remove. The dialog says they "will lose their login, counter access and booking calendar. Their history is kept." If they have upcoming appointments, clicking Remove person does not open the confirm dialog. The page shows the block right under the button straight away ("Can't remove Name while they have 3 upcoming appointments.", or "...1 upcoming appointment." for one), so reassign those first, then remove. The owner has no Remove button. Store Admins cannot remove anyone who has an admin login, including a login that is switched off: for those people Remove person is greyed out with the line "Only the Super Admin can remove someone who has a login." under it, and if the server refuses a removal anyway the same sentence appears in red. A Store Admin can still remove people who have no login (a cashier or bookable staff member), and the Super Admin can remove anyone except the owner. Once removed, the person no longer appears on the list at all, not even under the Deactivated chip, so there is no row or page to switch them back on from. To bring them back, add them again with their email (see Add back someone you removed).
  • Find people who were turned off: use the Deactivated chip on the list. It shows people whose login was turned off, and counter-only people whose counter was switched off. To re-enable one, open their page and turn the relevant switch back on; a free seat is needed.

Nothing here deletes your orders, bills, or appointment history.

Vendor teams

Open Team → Vendor teams (/team/vendors). The page title is Vendor teams, with the line "Each vendor's admins and staff. Vendors never see each other's people." A Team link at the top takes you back to the Team page.

The page shows one section per vendor, and each section lists that vendor's people with everything you need to manage them. If you have no vendors yet, the page says "No vendors yet. Invite a vendor from Vendors first." See Managing Vendors.

The seats banner

At the top, a banner reads "Vendor people share your plan seats: N of your M used seats are vendor team members." (with exactly one vendor person it reads "1 of your M used seats is a vendor team member."). Vendor people use the same plan seat pool as your own team.

N counts every vendor teammate who holds a seat: people who are Active and people who are Invited. An invite creates a live login straight away, so a pending invite uses a seat until the person is deactivated or removed. Only Inactive (deactivated) teammates are left out of N, because they have freed their seat. The banner is hidden when N is 0, and a Vendor Admin never sees it.

Find a vendor: search, sort and filter

A toolbar sits above the vendor sections.

ControlWhat it does
Search vendors or people boxMatches a vendor's name, or the name or email of any of its teammates (capital letters and accents are ignored; the list updates a moment after you stop typing). Vendors that do not match are hidden. A matching vendor that has people opens by itself, and the teammate rows that matched are highlighted. You can still close an opened vendor afterwards. While searching, a count such as "2 of 9 vendors" appears. When nothing matches you see "No vendor or person matches "(what you typed)"." with a Clear search link. The clear button in the box is named Clear search.
SortA–Z (the default) lists vendors alphabetically. Most people puts the vendor with the biggest team first, with ties in A–Z order.
ShowAll, Has team (vendors with at least one person) or No team yet (vendors with nobody on them). If the choice leaves nothing, the page says "No vendors in this view."
Expand all / Collapse allOpens every vendor currently listed, or closes all of them.

Pages of vendors

With more than 10 vendors in the current view, the sections are split into pages under the list. The paging counts vendors, not people.

ControlWhat it does
Vendors per page10, 25 or 50. The first time you open the page it is 25, and the choice is not remembered.
Range, for example "1–25 of 40"The vendors on this page, out of the vendors your search and Show choice leave.
Previous page / Next page arrowsMove one page at a time.

The controls are hidden when 10 or fewer vendors are listed. Typing a search, changing Sort or Show, or changing Vendors per page returns to page 1. Expand all opens every vendor in the current view, including those on other pages. A link such as /team/vendors?vendor= plus a vendor's ID (from the seat strip) jumps to the page that holds that vendor, scrolls to it and outlines it, so a vendor on page 3 is not hidden from that link. If a vendor "is missing", check the page controls and the Show choice before assuming it was removed.

One section per vendor

Each vendor's header shows its round avatar, its name, "N people" ("1 person" for a single member) followed by a status summary such as "3 active · 1 invited" (only the statuses that exist are listed: active, invited, deactivated), a small stack of its people's avatars (hidden on phone-width screens), and an Add person button. Click the vendor's name or caret to open or close its section.

When the page first loads, every vendor section is open if you have three vendors or fewer, and every section is closed if you have more. Sections you open stay open while you work, including after you run an action. A link such as /team/vendors?vendor= plus a vendor's ID (the one from the Vendor teams list in the seat strip) opens that vendor, scrolls to it and outlines it in green.

Inside an open section, a table lists Person (avatar, name, email), Role (Vendor admin or Vendor staff) and Status (Active, Invited or Inactive). An invite whose link has lapsed reads Invite expired in place of Invited (the person still counts as invited, and still holds a seat). A person whose name is not readable shows Unnamed person. A vendor with nobody on it says "No one yet. Add the vendor's admin first. Most vendors need 1 admin and 2–3 staff." and shows an Add to this vendor button under that line.

Add a person to a vendor

Click Add person

On the vendor's section, click Add person in its header (or Add to this vendor if the vendor has nobody yet). The dialog is titled "Add to (vendor name)".

Enter their details

Fill in First name, Last name, and Email. All three are required, and the email must be valid.

Choose a role

Pick Vendor admin or Vendor staff. The first person added to an empty vendor defaults to Vendor admin; after that the default is Vendor staff.

Send the invite

Click Send invite. The dialog closes with a green confirmation, "Saved (First Last). Invite sent to (email).", and the person appears in the vendor's table as Invited until they accept. Send invite is greyed out when the plan has no free seat; see below.

When the plan has no free seat. The dialog checks your seat count as soon as it opens, before you type anything. If plan seats are all used (or you are over the limit), an alert at the bottom of the dialog reads "All seats used. Remove someone or upgrade in Billing to add a person." followed by an Upgrade in Billing link that opens the Billing page (/settings/billing), and Send invite is greyed out. Free a seat by removing someone, or upgrade, then reopen the dialog. If BillionBiz cannot read your seat limit, the alert reads "We can't check your seat limit right now, so adding people is paused. Refresh to try again." with no Upgrade link, and Send invite stays greyed out until you refresh and the limit loads. If someone else takes the last seat after you opened the dialog, the server refuses the invite and the dialog shows "Your plan has no free seat for another person."

When the email is already used. If the email already belongs to someone on your team, the invite is refused. The dialog shows "Someone with this email is already on your team. Use a different email.", and the Email field turns red with "This email is already in use. Enter a different one." under it until you change the address. Change the Email and click Send invite again. Any other failure shows "Couldn't add this person. Try again."

Manage a vendor's teammate

Only the store owner can manage vendor teammates. When you are the owner, every teammate row has a three-dot button at its right end (named Manage plus the person's name). Store Admins see the same vendor sections and can still use Add person, but the three-dot button is not shown to them, and a Vendor Admin cannot manage anyone. If you cannot see the button, check who you are signed in as; the page decides from your account, not from a setting you can change.

Open the vendor and find the person

Open the vendor's section (or search for the person) and click the three-dot button on their row.

Pick an action

The menu only offers what applies to that person, as listed below.

Read the result

A message appears at the top of that vendor's section (inside the section, not a pop-up): a success note if it worked, or a red error note explaining why not. The list refreshes by itself. The message stays there until you run the next action on the same vendor.

Every item except Remove from vendor takes effect straight away with no confirmation. While an action is running the row fades and all three-dot buttons are disabled for a moment.

"Couldn't save this change. Try again."Any other failure. Try again; if it keeps failing, check your connection.

What a Vendor Admin sees

A Vendor Admin opens Team → Vendor teams and sees a single section titled Your team, always open, with their own vendor's people. The only toolbar control is a search box ("Search your team"); sort, filter and expand or collapse are not shown. They cannot add, change or remove anyone from this page, and they never see other vendors or the plan seat banner.

Plan limits on team seats

Plan seats count people, not accounts. One person counts once, whether they have an admin login, a booking profile, a counter PIN, or all three. The owner counts as one. Everyone on your vendors' teams counts too. See Pricing & Plans for the rules in full.

Troubleshooting

Why can't I add someone?

Check the seat strip first. If Add person or Add your first person is greyed out, BillionBiz can't read your seat limit right now. If Save person in the dialog is greyed out, one of these applies: plan seats are all used ("All seats used. Remove someone or upgrade in Billing to add a person."), your store is over its limit, or BillionBiz can't read your limit right now ("We can't check your seat limit right now, so adding people is paused. Refresh to try again."). Free a seat by removing someone, or upgrade in Billing; for the unreadable-limit case refresh and wait for the seat strip to show a number. If the dialog shows "Your plan has no free seat for another person." after you click Save, someone else used the last seat a moment earlier; refresh and look again. The same applies to Add to this vendor: when seats are full its dialog shows the alert with an Upgrade in Billing link and Send invite is greyed out.

What you seeWhy, and what to do
The Admin login switch is greyed out in the Add person dialog or on a person's pageYou are a Store Admin (only a Super Admin changes logins) or the person is the owner. A person with no email is not blocked: see Give someone without an email a login.
Why can't I turn on login for someone?(1) They have no email: pick a Role next to the switch, flip Admin login on, type an email and click Send invite. (2) You are not the Super Admin: only the Super Admin (store owner) can give or remove logins. (3) Your plan is full: the card shows "Your plan has no free seat for this change."
The Takes bookings switch is greyed outAppointments is not switched on for your store, or the person has upcoming appointments and cannot be turned off yet.
A person doesn't show on the calendar or in the booking pickerTheir Takes bookings switch is off. Open their page, switch it on, and choose their Services. A person with only Counter access is never offered for bookings.
"Another person at the counter already uses this PIN. Choose a different one."Counter PINs are unique across your cashiers. Choose a different six digits and save again.
A cashier can't sign in at the counterThe Counter switch is off, the PIN was not set, the row says Paused by plan, or you turned off their Admin login (which also turns off Counter). Open their page and check the Counter card.
"All counter seats are used. Move a seat from someone else..."Your POS add-on's counter seats are full. On the person's page use Move a seat from and click Turn on counter again; in the Add person dialog, save without counter access or free a seat first. On a person's page the message and the Move a seat from list appear as soon as you switch Counter on, and Turn on counter stays greyed out until you pick someone. You can also add an extra seat in Billing.
I can't find Transfer Super Admin ownershipIt is on the owner's own page, in the Admin login card, and only a Super Admin sees it. A Store Admin, or any other person's page, does not show it. See Transfer Super Admin ownership.
Reset PIN is missing on a person's Counter cardCounter is off or paused for that person, the person has no counter PIN on file (this includes an owner with no PIN set up yet), or your role cannot manage the counter. See Reset a PIN.
The Commission chip and column are missingThey show to the Super Admin only.
Why is Save greyed out in the Add person dialog? One of three reasons. (1) Counter (PIN) is on and every counter seat is in use: a red note says "All counter seats are in use (N of M)..."; switch Counter off to save without counter access, or free or buy a counter seat first (see Add a person). (2) Plan seats are full or over the limit: the seat line says "All plan seats are used..."; remove someone or click Upgrade in Billing on the Team page. (3) BillionBiz can't read your plan limit: refresh. Save also stays grey for a moment while it is saving.
Why does the counter count include me?The grey line "Z at the counter" counts everyone with counter access, and that includes the owner's PIN. The italic note "Includes the owner PIN, which uses no cashier seat." says so. The owner PIN does not use a cashier seat, so Z can be one higher than the number in the Counter seats · POS box.
A cashier disappeared from the main list after I switched their Counter offIf the counter was their only access, they were deactivated and their plan seat freed. Open the Deactivated chip, click them, and flip Counter (PIN) back on (a free plan seat and counter seat are needed). See Counter (PIN).
"Someone with this email is already on your team. Use a different email."The email is already used by another person. It appears in the Add person dialog (with Admin login on), in the Add to this vendor dialog, and in the Admin login card when you turn a login on from a person's page. Use a different email.
I removed someone and "Someone with this email is already on your team" still appearsThat message is for people who are still active or only deactivated. A person you removed is restored by Add person instead, but only as the Super Admin with Admin login switched on and their old email typed; check both. If they were only deactivated, they are under the Deactivated chip: open them there and turn the switch back on, do not use Add person. See Add back someone you removed.
Adding a vendor team member fails with "Couldn't add this person. Try again."A cause other than a full plan or a duplicate email, which both have their own messages. Try again; if it keeps failing, check your connection and the vendor's status.
Send invite is greyed out in Add to this vendorThe plan has no free seat, or BillionBiz can't read your seat limit. Read the alert in the dialog: click Upgrade in Billing, free a seat, or refresh.
I can't find the three-dot button on a vendor teammateOnly the store owner can manage vendor teammates. A Store Admin or Vendor Admin sees the people but not the button. See Manage a vendor's teammate.
The seats banner on Vendor teams counts people who haven't accepted yetCorrect: Invited teammates already hold a seat, so they are counted. Only Inactive teammates are left out. Deactivate or remove an invite you no longer need to free the seat.
"(vendor name) needs at least one active vendor admin."You tried to demote, deactivate or remove the vendor's last active admin. Promote someone else first.
A vendor I searched for isn't shown, or a vendor has no people listedCheck Show (Has team hides empty vendors, No team yet hides vendors with people) and clear the search box. Collapsed sections hide their people; Expand all opens them.
A person's Admin login tag says Invite expiredThey never set a password and the link has lapsed. As the Super Admin open their page and click Resend invite; a Store Admin must ask the Super Admin. See Invited, Invite expired and Resend invite.
I can't find Resend inviteIt shows only on the Admin login card of someone whose invite has not been accepted, and only to the Super Admin. For a vendor teammate it is in the three-dot menu, owner only, and only while the status is Invited or Invite expired.
"Couldn't send the invite. Try again."The resend did not go. The person may already have accepted (refresh and check), their saved email may be unreadable (remove and add them again), or the connection dropped. See Invited, Invite expired and Resend invite.
Remove person is greyed out for meYou are a Store Admin and the person has an admin login (even a switched-off one). The line under the button says "Only the Super Admin can remove someone who has a login." Ask the Super Admin to remove them.
The notice "Some details could not be loaded, so appointment status may be out of date."The counter and appointment status could not be read this time. Everything else works; click Retry. See When some details can't be loaded.
I turned a login back on and the person came back with the wrong roleThe Role picker starts on the role they had before, and you can change it before flipping the switch. If the wrong role went through, switch the login off and on again with the right Role picked. See Turn a login back on with a role.
An old link to a person says "We couldn't find this person."The link carries a user ID that no one on the team has now, usually because they were removed. Go back to the Store team and search for them.
I can't see the person I just added, or someone is missing from a long listLists longer than 10 are paged. Check the range under the table and the Next page arrow, or search for the name. See Pages of people.
