The Dashboard: Your Business at a Glance

The stat widgets, alerts, and recent-activity feed on your Dashboard — and how to read them to catch problems before they cost you sales.

The Dashboard is the first screen you see after logging in. It is built to answer one question: how is my store doing right now? Every tile, chart, and list on it links straight to the screen where you'd actually do something about it.

Screen: this is your landing page after sign-in — no navigation needed, or go to Dashboard in the left nav at any time.

What's on the Dashboard

  • Plan-usage warnings and a critical-alerts banner can appear above everything else when something needs your attention.
  • A Quick Actions row and, for vendors, a plan-usage widget sit just below those banners.
  • A featured revenue card plus four stat cards — Total Orders, Total Products, Customers, Pending Orders, Low Stock — each with a 7-day trend sparkline.
  • A Revenue Trend chart you can switch between 7-day, weekly, and monthly views.
  • Recent Orders, Top Products, Today's Stats, and Ticket Summary widgets in one row.
  • Stock Alerts and Key Metrics widgets below that.
  • Data loads fresh every time you open or reload the page — there's no auto-refresh timer, so reload the page to see the very latest numbers.

Plan-usage warnings

If your store is approaching a plan limit, a banner appears above the stat cards, with an Upgrade button that takes you to Settings → General (/config) — the store settings screen where currency, timezone, and contact details also live, not the Billing & Plan screen itself:

  • A warning banner once your monthly order volume reaches 80% of your plan's order limit.
  • An informational banner once your email-sending usage reaches 80% of your plan's email limit.

Either banner disappears once you're back under 80%, or once you upgrade to a plan with a higher limit.

Critical Alerts banner

When your store has an active critical issue — a failed payment or a product that's gone out of stock — a red banner appears above the stat cards listing each alert with a count and a View Details button. Clicking View Details takes you straight to the screen where you can resolve that specific alert (for example, the affected order or product). If there's nothing critical to flag, this banner doesn't appear at all.

Quick Actions

Below the alert banners, a row of action chips gives you one-click access to common next steps:

ActionTakes you to
Add ProductInventory
Pending Orders (badged with the live count)Orders, filtered to Pending
Process RefundsReturns & refunds

The Pending Orders chip only shows a badge when you have pending orders to act on. This row is hidden for vendor users, who see their own scoped navigation instead.

Note

If you're logged in as a vendor, you won't see the Quick Actions row. Instead, a small plan-usage card shows your product count against the store's product quota (a progress bar, "used of limit," and how many of those products are yours), so you can see at a glance whether the store is close to its product ceiling.

The stat cards

At the top of the Dashboard, a featured Total Revenue card sits alongside four smaller stat cards. Each shows a trend arrow (up or down) against the prior comparable period, plus a small 7-day sparkline.

CardWhat it showsClicking it takes you to

Low StockProducts where the simple item or any active variant has 1 unit up to and including that product's threshold; a zero-stock row is not itself low, although a different positive row can still qualify the productInventory, filtered to Low Stock; this filtered result matches the card count

Note

If you're logged in as a vendor rather than a store admin, these cards are scoped to your own products and orders: My Products, My Orders Today, My Pending Orders, My Low Stock, and My GMV This Month.

Revenue Trend chart

Below the stat cards, the Revenue Trend chart plots revenue and order volume over time. A toggle above the chart switches the view between 7 days, Weekly, and Monthly — useful for spotting whether growth is accelerating or stalling.

The activity row

Four widgets sit side by side below the chart:

  • Recent Orders — your most recent transactions, so you can see what just came in without leaving the Dashboard.
  • Top Products — best-sellers ranked by revenue over the last 7 days.
  • Today's Stats — a snapshot of today's orders, pending deliveries, weekly revenue, and the week-over-week comparison — so you can compare today against your own benchmark without switching screens.
  • Ticket Summary — a quick read on open, in-progress, and overdue support tickets, so support health stays visible next to commercial performance.

Stock Alerts and Key Metrics

The last row of the Dashboard surfaces:

  • Stock Alerts — products whose simple item or any active variant is at or below that product's configured Low-stock alert. For products with options, the list names affected variants and units, such as Navy / M: 2 left, even when the product's total stock is healthy. Select Restock on a row to open that product's own page in Inventory (not the Inventory list), where you can edit the stock for the variant the row names.
  • Key Metrics — a supplementary metrics widget rounding out the picture alongside the stat cards above.

If you're a store-level admin, a Top Vendors panel also appears in this section on a multi-vendor store.

Layout differs by skin, but the data is the same

The Dashboard has two layouts. This page describes the classic layout above, and then the new dashboard (v2) on the new admin sidebar. The new layout is organised differently and does not use the Quick Actions row, but its cards read from the same store data, so the classic sections remain a reference for what each number means.

The new dashboard (v2)

On the new admin sidebar (v2) the Dashboard is a different page from the classic one above, not a restyle. The sections below are in the order they appear on the page.

Each data card has three end states. With data it shows the figures. When it has nothing to show (no orders, no sales, nothing to act on) the card is dimmed and a short message sits over it, such as "No orders yet" or "All clear". When only that card's request failed, the dimmed card carries Couldn't load and a Retry button instead. A failed card is not an empty card: "Couldn't load" means the data could not be fetched, so do not read it as zero. Retry reloads just that card and leaves the rest of the page alone. The four KPI tiles use their own wording: "No data yet" when a figure is unavailable and "Couldn't load" when its request failed.

The header: greeting, New order and Add product

The headline reads "good morning, your first name." (the first word of the name on your account; with no name saved it shows only the greeting), with today's date above it. Two buttons sit in the header: New order (opens the manual order screen, /orders/new) and Add product (opens the Inventory add-product form).

Invoice banner and Pay now

If your BillionBiz subscription has an unpaid invoice with a due date, a banner sits above the page: "Invoice of [amount] is due in N days" ("due in 0 days" on the due date itself), or "Invoice of [amount] is overdue" once the date has passed. The banner is a calm neutral strip while the date is more than 14 days away, turns yellow inside 14 days, and turns a reddish tint once overdue. The amount is shown in the invoice's own currency. Pay now opens the Billing screen (/billing); nothing is charged from the Dashboard itself. N always counts to the plan end date, whether auto-renew is on or off, the same date the sidebar plan card and the Billing page show. There is no banner when no subscription invoice is unpaid. Only a plan invoice that is still awaiting payment shows it: add-on and domain invoices never do, and neither does a leftover draft whose payment failed, was cancelled or expired.

Why don't I see the banner even though Billing lists an invoice? Usually the invoice is already paid, is an add-on or domain invoice, has a zero amount, or is a draft whose payment failed, was cancelled or expired. Open Billing to see its status. See Plans & Billing for paying and for auto-renew.

Do this next

A large card at the top of the page names the single most urgent thing for your store, with one action button. When several things need you, it picks them in this order: failed payments, out-of-stock products, orders to ship, orders waiting too long, open support tickets, low-stock products, abandoned carts. Each title carries its count, for example "12 orders to ship", with buttons such as Review orders, Review payments, Open tickets or Reorder.

  • Skip moves to the next item, and the card shows its position ("2 of 4"). Skip only changes what the card shows; it does not dismiss or resolve anything, and the item returns on reload.
  • On a new store with setup steps left, and nothing urgent, the card suggests the next setup step with a Start button.
  • When nothing needs you, it reads "You are all caught up" with a View orders button.

BuBu briefing and Store health

Directly under Do this next, a BuBu card gives a daily briefing ("Your store's daily briefing.") with three quick lines (today's sales, low-stock items, orders today) that open Analytics, Inventory and Orders, plus Chat with BuBu →, which opens the BuBu page. Dismiss today hides it for the rest of the day in this browser only (it is remembered per day on this device, not on your account); Reopen BuBu briefing in Quick access brings it back. A Store health block lists four follow-up shortcuts: Review low stock, Optimize product pages, Launch loyalty offer and Start WhatsApp campaign.

Store setup chips

Until the three starter steps are done, a Set up your store strip shows "N of 3 steps" with one chip per step: Add your first product (opens Inventory's add form), Share your store link (copies your storefront link; the strip also has a Copy store link button) and Get your first order (opens the manual order screen). Product and order steps tick on their own once you have a product or an order; the share step ticks after you copy the link.

To dismiss the guide, select Dismiss on the strip; the choice is saved on your account, so it stays hidden on other devices too. To bring it back, choose Reopen setup guide in Quick access (right-hand rail). That row appears only while the guide is dismissed and at least one step is still open, and it is disabled for a moment while the change saves. If saving fails, a notice above the page reads "Couldn't save or load your preference." with a Retry button; select it to try the dismiss or reopen again.

The four KPI tiles

TileWhat it counts
Collected · todayMoney collected today. With no sales it shows "No sales yet today".
Orders · todayOrders placed today. Select it to open Orders.
To shipOrders still before shipping (Pending, Confirmed, Processing in the order pipeline). Select it to open Orders on its pending view.
Fulfilled · currentOrders already shipped, out for delivery or delivered, across your current orders. It is not limited to today.

A tile shows "No data yet" when the figure is unavailable and "Couldn't load" when its request failed; a zero is shown as zero only when the store really reports zero.

How the KPI tiles lay out

The tile strip chooses its layout from its own width, not only the screen size, so a long figure such as a large collected amount never gets clipped or loses a digit:

  • Four across when the right-hand rail sits beside the main column (a window about 1181 pixels wide or more) and the strip is wide enough to hold the longest figure in the row.
  • Two by two when the rail drops below the main column (a narrower window), or when the rail is beside but the strip is too narrow for four. Wide enough for two tiles' longest figure is all it needs.
  • One per row when the strip is too narrow to hold two tiles' longest figure (from 600 pixels up).
  • A swipe carousel on a phone (under 600 pixels wide): each tile takes about three quarters of the width and snaps into place as you swipe, with a row of dots underneath showing which tile you are on. The dots appear only in this carousel.

All four tiles in a row share one figure size, set by the longest figure, so they always line up. If the tiles show smaller figures than expected, one of them holds a long amount; widen the window to get the two-by-two or four-across layout back. Nothing is hidden: the same four tiles appear in every layout.

Next actions

A filterable list of things to act on, with tabs All, Shipping, Carts and Stock, a count on each tab, and View all (N) to open Notifications. Rows cover failed payments (Review payments), orders to ship (Review orders), orders waiting too long, open tickets (Open tickets), out-of-stock and low-stock products (Reorder, opening Inventory filtered to low stock) and abandoned carts (opening Abandoned carts). A tab with nothing in it says "All clear. Nothing needs you here." The Carts tab and its row appear only when your plan returns cart statistics; if that data cannot be loaded they are hidden rather than shown as zero. While the setup strip is still unfinished and undismissed on a new store, Next actions (and Cash in) are not shown.

Cash in

A small Cash in card with Settled and Pending payout totals and a Settlements button (opens the Settlements tab under Finance → Payouts, /finance/settlements). It appears only for stores with a linked payout account and settlement data; stores without one never see an empty placeholder.

Order pipeline

A segmented bar splitting your orders by stage: Pending, Confirmed, Processing, Shipped, Out for delivery, Delivered, Cancelled, Returned and Other, with "N orders in progress" beneath it. Select a stage to open Orders filtered to that status. A store with no orders shows "No orders yet".

Revenue

The Revenue card shows the total for the chosen window with a line chart. A switch beside the total chooses the window: 7 days, 30 days or 90 days. It opens on 30 days, and choosing another reloads the chart for that window only; the rest of the page does not change. With no sales in the window it says "No sales yet"; if the chart request fails the card shows Couldn't load with Retry, which reloads the window that is selected.

Recent orders and What's selling

Recent orders lists your latest five orders in a table, with View all to open Orders; a store with none shows "No orders yet" and a shortcut to share your link. What's selling lists your top products for the last 7 days with revenue and "N units sold"; with no sales it reads "Sales will show here once you get your first order", with an add-product button.

Low stock and Support tickets

Two compact lists. Low stock shows the products or variants at or below their low-stock alert (each row shows "N left" or out of stock) with View all to open Inventory filtered to low stock. Support tickets shows Open and Pending reply counts with View all to open Tickets. Each reads "All clear" when there is nothing to do. On a screen wider than 1180 pixels they sit in the right-hand rail under Quick access; on narrower screens they move under the main column.

The right-hand rail

On a wide screen the rail stays beside the page as you scroll. Top to bottom:

  • Store identity — your store name, the storefront address (select it to open View storefront), your plan name with an Active or Needs attention status, an Auto-renewal On/Off indicator that is read-only here (change it under Settings → Billing & Plan), a Plan renews date (auto-renew on) or Plan expires date (auto-renew off) with a days-left ring, and, on a plan with an order cap, an Orders this month usage bar. Unlimited plans show no bar. Where no plan window is available, the ring shows setup progress instead.
  • Store details — Signed in as (your email) and Role, with an Edit link to Settings (/settings).
  • Quick access — Broadcast on WhatsApp, Import and Create coupon, plus Reopen BuBu briefing and Reopen setup guide after you dismiss them.

On a phone the page is a single column and the KPI tiles scroll sideways (see How the KPI tiles lay out).

Troubleshooting: why is a card missing from my Dashboard?

Several cards are conditional by design. Cash in needs a linked payout account. Next actions and Cash in stay hidden on a new store until you finish or dismiss the Set up your store strip. The Carts tab needs cart statistics from your plan. The invoice banner needs an unpaid subscription invoice with a due date. The BuBu card hides for the day after Dismiss today, in that browser. Reopen setup guide appears only after you dismiss an unfinished setup guide. The Orders this month bar shows only on a plan with an order cap. A card that says Couldn't load failed to fetch; select Retry on that card, and if it keeps failing reload the page. A card with a message such as "No orders yet" is simply empty.

Troubleshooting: why does Orders open already filtered?

To ship, Review orders and the order-pipeline stages open Orders with a status in the address. On the new skin a pending status selects the Priority queue tab and any other stage opens the All tab with a removable Status: ... pill; on the classic screen it sets the Status dropdown. To see everything, choose the All tab or clear the filter. See Opening Orders already filtered.

Why does the To ship tile differ from the Orders list count?

To ship counts orders before shipping across several statuses (Pending, Confirmed and Processing), so it can be larger than the count of orders that are only Pending. Use Next actions as your "not touched yet" queue and To ship as your total outstanding workload.

Opening and copying your store's address

The store identity card at the top of the rail shows your store's address (the host, such as yourshop.billionbiz.store, with no https://) next to a small open-in-new-tab icon.

  1. Select the address. Your live storefront opens in a new browser tab.
  2. To read a long address that the rail cuts off, hover over it: the full host appears as a tooltip.
  3. To share the address, select Copy store link (in the Set up your store strip while it is showing, otherwise on the store identity card). The page confirms with Store link copied. Share it with your customers.

All of these use the same address, picked in this order: your active custom domain, then your store's BillionBiz address, then the website URL saved in your store settings. A custom domain only counts once its status is active.

Troubleshooting: why does the store card show my name, or nothing happen when I click it?

When none of the three addresses is set yet, the card shows your own name in place of a host, and selecting it shows Your storefront link isn't ready yet — it'll appear here soon. instead of opening a tab. Copy store link shows Your store link could not be copied. Try View storefront. in the same situation, and also when your browser blocks clipboard access. Check Online Store → Domains for a domain with an active status and the Website URL under Online Store → Theme → Look & Feel → General, then reload the Dashboard. A connected custom domain that is not active yet is the usual reason the card keeps showing your BillionBiz address.

Order Status Distribution

A donut chart breaks down your current orders by status — pending, processing, shipped, delivered — so a fulfilment bottleneck is visible at a glance rather than buried in a filtered list.

On the classic dashboard, the chart is also a shortcut into the Orders list. Selecting a slice of the donut, or one of the status entries beneath it (a coloured dot, the status name and its count), opens Orders with that status in the address. Where that lands depends on the skin and the status; see Opening Orders already filtered:

  • Pending opens the Priority queue tab on the new skin, or sets Status to Pending on the classic screen.
  • Confirmed opens the Ready to ship tab on the new skin; the classic screen has no Confirmed option, so it ignores the value and shows every order.
  • Processing, Shipped, Delivered and Cancelled set the classic Status dropdown to that value; the new skin opens the All tab filtered to that status, with a removable Status: ... pill.

If you land on a list with fewer orders than you expected, that filter came from the chart click. Clear it with the All tab or dropdown value (or the pill's x on the new skin). The new dashboard layout does not show this donut.

The chart counts standard store orders only. Appointment and booking orders are left out, so the totals match the Orders list and the other Dashboard figures instead of running higher.

Why check it daily

A merchant who checks the Dashboard once a day can catch a stockout before it turns into missed sales, spot signs of a fulfilment backlog before it frustrates customers, and see at a glance whether today is tracking ahead of yesterday — all without opening a separate analytics tool or a spreadsheet.
