Appointments Overview & Navigation
Find the appointments workspace, understand what administrators and staff see, and set up booking in the correct order.
Appointments has two connected surfaces: the admin workspace where you configure and run the schedule, and the customer portal where customers choose a service and time. Complete setup in the admin before sharing the booking page.
Open the admin workspace
Screen: In the classic admin sidebar, go to Sales & Orders → Appointments. In the new admin
sidebar, go to sell. → Appointments. You can open the same workspace directly at /appointments.
The stable workspace tabs are Calendar, Offerings, Team & Resources, and Settings. The same tab labels and routes are used under both admin skins.
Appointments add-on required
The Appointments sidebar item remains visible without an active Appointments add-on. A store owner who opens a covered page sees Appointments add-on required and can select View Appointments add-on to open Settings → Billing & Plan → Add-ons. Staff and vendor users cannot buy it; they see Appointments is not available for this store right now. Contact the store owner for help.
Set up appointments in order
Create the offering
Go to Sales & Orders → Appointments → Offerings and click Add offering. Define what customers are booking, how long it takes, its price, and whether it is visible online.
Add the required people or assets
Go to Sales & Orders → Appointments → Team & Resources and click Add team member. A resource can be a Person, Space, or Equipment.
Connect resources to the offering
Open the offering and use Team members / resources to select the people who can deliver it. Only active Person resources appear as new choices. If an older offering already links another resource type, its selected chip still shows the saved name (type) rather than a raw ID; an unresolvable saved link appears as Unavailable resource.
Add working availability
On Sales & Orders → Appointments → Team & Resources, use Manage availability for each resource. Add at least one weekly shift; without one, the resource is treated as never available.
Set store-wide booking rules
Open Sales & Orders → Appointments → Settings to set booking notice, booking horizon, slot increment, cancellation, reminder, and customer team-member-choice defaults. Store administrators and super administrators can access this tab.
Check the customer flow
Open the store's /book page. Choose the service, resource, date and time, then complete the
Details and Confirm steps.
Run the day
Use Sales & Orders → Appointments → Calendar as an administrator. A staff account linked to a
person resource sees My Day at the same /appointments route instead.
Role differences
| Role or account state | What the appointments route shows |
|---|---|
| Store-level administrator | Calendar plus the setup tabs; Add, Edit, and Deactivate controls are available. |
| Vendor user | Both sidebars list Appointments. The calendar is available, but store-level setup actions are hidden. |
| Staff account linked to a resource | My Day, filtered to that linked resource's appointments for today. |
| Staff account without a linked resource | Guidance asking an administrator to link the account in Team & Resources. |
Customer routes
| Task | Route and access |
|---|---|
| Start a booking | /book; public, so a customer can complete the funnel without signing in. |
| Review account bookings | /bookings; sign-in required. |
| Open one account booking | /bookings/:id; sign-in required. |
| Open a token-link booking | /book/manage/:token; public because the token in the saved link is the credential. |
A separate surface: designing the booking page's look
Sales & Orders → Appointments (above) is where you configure what customers can book. Online Store → Pages → Booking page is a different screen where you choose a visual template and per-step format for the booking funnel — see Booking Experience Editor. The two setup orders are independent; you don't need to touch one to use the other, and — as of this release — changes saved in the Booking page editor don't yet affect what customers see in the funnel described above.
Why don't customers see booking choices?
The customer flow is downstream of all three setup layers. Check the offering's Active status and Visible for online booking switch, confirm at least one selected resource is Active and Bookable online, and add a weekly shift that is not covered by a block. Use the full checklist in Troubleshooting & Access.
