The Orders List & Order Lifecycle

Search, filter, and export your orders, and understand the numbered journey every order follows from placement to delivery.

Go to Orders in the left navigation. This is your daily command centre for everything that has been bought on your store.

The Orders list

At the top of the screen you get headline numbers:

  • Today's Orders — how many new purchases arrived since midnight.
  • Pending Delivery — orders still in transit or awaiting dispatch.
  • Revenue This Week — total confirmed sales for the rolling seven-day window, in your store's currency.

Below the headline numbers sits the full order table.

What you can do on the list

  • Search by order number or customer name, in real time.
  • Filter by status — Pending, Processing, Shipped, Delivered, or Cancelled.
  • Export the visible list to CSV.
  • Select rows and act in bulk — see below.

Marketplace stores get a vendor filter

If your store runs as a marketplace with multiple vendors, a vendor filter and column let you view only the orders belonging to one seller, and column headers let you sort the table by date or value. This keeps marketplace admins from working through a single undivided list.

Newer dashboard skin

The vendor filter/column and column sorting described above work the same way on the newer visual skin.

Counter and appointment history

Screen: In either admin skin, open Orders → Counter and appointment history, or open /orders/pos-history directly while signed in to the admin panel. This history is separate from the ordinary Orders list and the cashier's kept-bill list.

Find the original sale and its payments

Choose the payment view

Use All, Online, Counter, Appointments or Outstanding when offered. Online and Counter describe where money was received: Counter includes appointment balances received at the counter, while online deposits remain separate. An unpaid online pickup can still have an amount to collect at the counter; an online order is not proof of online payment.

Read the bill row

Check Bill / customer, Order type, Invoice total and Money received. Types include Counter sale, Online pickup, Appointment and Appointment · Paid; a qualifying pickup also shows Pay at shop. Each payment shows its amount, channel and payment label. An outstanding balance is shown separately. Use Previous and Next when the list spans pages; the first and last page disable their respective controls.

Open the history detail

Select Open on the original row. Check the order number and customer, Received, Invoice total, outstanding balance, item quantities and line totals. Payment entries show the method, date, amount and channel; appointment entries can distinguish Deposit · Paid online from Balance · Paid at counter and identify Performed by on a line. Where an original receipt number is supplied, it appears under Receipt. Review Open, Paid or Cancelled and any Read-only history notice before choosing an action.

Return to the same view

Use Back to orders to return to the selected filter. If you arrived through a dated link, the list shows Active dates and keeps those dates while you switch filters, open a row and return. This history does not provide its own date picker.

Channel tabs appear only when that channel is active or has history. With just one payment channel and no appointment activity or history, the channel tabs are hidden and Outstanding remains. An ended counter add-on or paused appointments can leave historical records readable while new activity is unavailable. A Read-only history notice does not mean the bill is unpaid.

Understand payment labels

These are the labels in this history, rather than a menu of methods you can collect on every order. Split payments appear as separate received amounts.

Payment labelHow to read it
CashCash received.
UPIA UPI payment, including manual or gateway-backed UPI.
CardA card payment, including manual or connected-terminal records.
Recorded by adminPayment recorded manually by an administrator.
Online paymentAn online payment; use the original order for further payment details.
Gift card (code) / Store credit (customer)The stored-value payment record. This label alone does not distinguish gift card from customer store credit.
Exchange creditExchange credit applied to the bill.
Other paymentAn unrecognised method. The amount remains included, with Payment method is not recognised. The received amount is included.

An older receipt summary can show Payment method not recorded rather than guessing a method. The displayed received money and an invoice total serve different purposes; an outstanding balance is not another received payment.

Resume a counter bill or open its receipt

Resume only an eligible open bill

In the history detail, use Open in POS when enabled. It opens the existing counter bill with its original items and total. The admin action requires owner access. Use the approved device for that bill's register, an unlocked, current cashier PIN session with collection permission, and a clear counter with no other bill or unresolved payment. The link does not grant cashier or payment access by itself.

Read a paid bill's original receipt

For a paid counter sale, use Receipt. POS opens Original receipt after checking the original bill, receipt number and total. You still need an approved device and a current, unlocked PIN session for the same store. Back to paid bill shows the original paid bill with This is the original paid bill. Changes are unavailable here. This view does not reopen payment or create another sale. Use Back to orders to return to the original history detail and its filter.

On Original receipt, the Document copy list is greyed out and offers only Duplicate of original document: a reprint from history is always a duplicate (printed with a duplicate banner), and there is no Original document choice. The original is the copy printed when the sale was first completed. The list is not shown on Back to paid bill.

Metre, kg and other measured items. A bill that sold by length, area or weight opens the same way. Quantities such as 1.5 (metres) or 1.25 (square metres) are accepted with up to three decimal places, and prices and line amounts with up to two. WhatsApp sending from this screen uses the same bill. A malformed value (for example blank, text such as 1.5m, scientific notation such as 1e2, a leading space, or more decimal places than allowed) makes the whole receipt unavailable; it is never shown partly.

Print, share or send the receipt from History

On Original receipt the original bill number appears under the receipt number, and the printed receipt carries the same bill number as Bill followed by the number. Choose the Paper size (58 mm or 80 mm) and select Print; Print is disabled until the receipt has finished loading. Share appears only on browsers that can share a link, and is disabled until a shareable receipt link exists (A shareable receipt link is not ready yet.). WhatsApp opens Send receipt, which shows the customer's saved WhatsApp number; select the send button to request delivery. If the bill has no valid saved Indian mobile number, the screen says A valid saved phone number is unavailable. You can still view or print the receipt. After sending you see Receipt queued. Delivery is pending. or Receipt request accepted. Delivery is not confirmed.; neither is proof the customer received it. The outcome is unknown. Check WhatsApp before requesting another receipt. means do not send again until you have checked.

Stop when the original cannot be opened

Open in POS is disabled if the bill cannot be resumed. The detail may say This existing bill cannot be resumed here. Open the original bill to review it. Use View bill to review the original order. Receipt is disabled when the paid bill has no verified receipt target; a cancelled, refunded or inconsistent bill may be ineligible. Do not start a new counter bill as a substitute for the original.

This admin history does not send anything to the customer when you select Open or View bill. For pickup payment and the separate goods handover, use Pickup Collection.

Why can't I find or open the bill?

What happensWhat to do
No orders match this view. Choose another channel or clear your filters.Check the channel and any Active dates. Use Clear filters to reset to All and remove linked dates.
No orders yet.Confirm the store and dates before treating the view as a store-wide absence of orders. Use Clear filters if a dated view offers it.
Could not load orders. Try again.Select Try again. A load error is not an empty history. An unrecognised tender can appear in the list while its detail cannot load; review the original through the ordinary Orders list and ask support to check the payment record.
Open in POS is disabled or resume failsCheck the original bill's state, owner access, register/device, session and unresolved counter work. Keep the original bill; do not collect against a replacement.
The original receipt cannot be verified. Try again or return to orders.Check the store/device and PIN session, then use Retry in the receipt view or Back to orders. A changed bill or mismatched receipt must not be treated as a printable original. A paid metre or kg bill with a normal quantity such as 1.5 no longer triggers this message by itself; if it appears for one, the bill itself carries an unreadable quantity or amount, so open the bill from View bill and ask support to check it.

Bulk actions

Tick the checkboxes on multiple rows to reveal a bulk action bar. From there you can:

ActionWhat it does
Update statusMoves every selected Pending order to Confirmed in one step
ExportDownload the selected orders
Message customersOpens a composer to write a message addressed to the customers on the selected orders

Update status always confirms — it isn't a status picker

Update status has one fixed target: it moves selected orders to Confirmed. There's no menu to choose a different destination status. Behind the scenes it's still gated by the same FSM as the order detail page (see Allowed transitions) — and Confirmed is only reachable from Pending — so if your selection mixes some Pending orders with some already Shipped or Delivered, only the Pending ones move; the rest are skipped rather than failing the whole batch. The confirmation toast reports the outcome as up to three counts — for example "3 orders updated, 2 skipped (invalid status transition)" — so you can tell at a glance how many moved and how many didn't.

Message customers doesn't send yet, on the newer dashboard skin

On the newer dashboard skin, Message customers opens a working-looking composer — you can type a message and press Send, and you'll see a "Message sent" confirmation. Nothing is actually delivered to the customer yet; the send action isn't wired to email, SMS, or WhatsApp. Use the automatic status-change notifications (see below) or contact the customer directly using the details on their order for now.

Filtering the list on the newer dashboard skin (v2)

The status dropdown described above is a classic-screen control. On the newer dashboard skin the Orders list is filtered with a row of tabs instead, and each tab replaces a chunk of what the dropdown did:

TabWhat it shows
Priority queuePending orders that need your attention first
TodayOrders placed today
Awaiting paymentOrders still pending payment confirmation
Ready to shipOrders confirmed and ready for fulfilment
EarlierOrders older than today
AllEvery order, unfiltered

A search box sits to the right of the tabs — it searches by order ID or customer name, the same as the classic screen's search. There is no separate status dropdown on this skin: switching tabs is how you filter.

Opening Orders already filtered

Orders accepts a ?status= value in its address, so links from other screens (the Dashboard's Review orders button and Pending Orders card both use ?status=pending) open the list already filtered. The filter and the address stay in step:

AddressNew skin (tabs)Classic screen (dropdown)
?status=pendingPriority queue tabStatus set to Pending
?status=confirmedReady to ship tabIgnored (not a dropdown option)
?status=processing, shipped, out_for_delivery, delivered, cancelled, returned, refundedAll tab, filtered to that status, with a removable status chip (see below)processing, shipped, delivered, cancelled set Status to that value; out_for_delivery, returned and refunded are ignored (not dropdown options)
Any other valueIgnoredIgnored

Changing the filter yourself updates the address: choosing a status in the dropdown, or the Priority queue or Ready to ship tab, writes ?status= (so a reload or a shared link reopens the same view); choosing All removes it. The other new-skin tabs (Today, Awaiting payment, Earlier, All) carry no status in the address, so selecting one of them clears it.

The status chip (new skin)

When a link opens Orders with a status that has no tab of its own (for example /orders?status=shipped), the new skin does not leave you on an unfiltered list. It opens the All tab, asks for only orders in that status, and shows a green pill next to the Invoice pending chip that reads Status: shipped (the status name is lowercase and written with spaces, so out_for_delivery reads Status: out for delivery). To remove the filter, use any one of:

  1. Select the x inside the pill (its accessible name is Clear status filter). The list returns to every order and ?status= leaves the address.
  2. Select another tab, including All. Tabs carry no status of their own, so the address is cleared and the pill disappears.
  3. If the filtered list is empty ("no matches."), select Clear filters in the empty state. This also resets the tab, search box, gateway and date range.

The search box still works with the chip on: it narrows within that status. Selecting Priority queue or Ready to ship replaces the chip with that tab's own status filter.

Troubleshooting: why does Orders open filtered, or show fewer orders than I expect?

If you arrived from the Dashboard, the list is intentionally limited to pending orders. Select the All tab (new skin) or set Status to All (classic) to see every order. On the new skin, a green Status: ... pill above the list means a link filtered it to that one status; select the x on the pill (or any tab) to see everything. A ?status= value the screen does not recognise is ignored and the full list shows, with no pill.

The KPI strip

Above the tabs, four figures summarise the list at a glance:

  • Today — today's order count, shown with a small trend sparkline.
  • Collected — this week's revenue total.
  • Awaiting you — how many orders are waiting on a decision from you (the same count as Pending Delivery above).
  • Fulfilled — reserved for a fulfilled-orders count; it currently always shows a dash (–) because the backend doesn't yet report this figure.

Pagination

The order table paginates rather than showing everything at once. At the bottom of the list you can:

  • Change how many rows show per page — 5, 10, 25, or 50.
  • Step through pages with Previous and Next buttons.
  • Read the current range (for example, "42 total · 1–10") next to the controls.

Empty states

  • No orders at all — if your store has no orders yet, the list shows a "no orders yet" message with a Create first order button that opens the manual order form — see Creating an order manually below.
  • No results for the current filter — if orders exist but the active tab/search combination matches none of them, the list shows a "no matches" message with a Clear filters button that resets the tab to All, clears your search, and resets any vendor/date filters in one click.

The order lifecycle — a numbered journey

Every order follows a clear, colour-coded path. A progress indicator on the order detail screen shows exactly where that order sits right now.

Pending

The customer has placed the order. Payment may still be processing. No action needed yet — the system is confirming the transaction.

Processing

Payment is confirmed. The order is in your hands: pick, pack, and prepare it for dispatch. This is your working state.

Shipped

You have handed the parcel to a carrier and booked a shipment. A tracking number is attached. The customer receives an automatic notification.

Delivered

The carrier has confirmed delivery. The order is complete.

Newer dashboard skin shows a 5-stage timeline

The order detail screen on the newer dashboard skin displays this same journey as a 5-stage timeline with a timestamp against each stage: Placed, Paid, Fulfilled, Shipped, Delivered. Placed and Paid together correspond to the classic screen's Pending → Processing step (an order becomes Paid once payment is confirmed); Fulfilled marks the order as ready to ship, ahead of the Shipped stage. The underlying statuses are the same — this skin just shows the payment/fulfilment split as its own stages instead of folding them into "Processing."

Counter (POS) bills on the order detail screen

A bill rung up at the Point of Sale counter can open on this same order detail screen. A few things read differently from an online order, and each exists so a counter bill is not shown as something it is not.

Check the customer name

A counter sale does not need a customer. When the bill has no customer attached, or the stored name is blank or the old placeholder Unknown, the customer name on the order detail reads Walk-in customer in the masthead, the customer card and the message drawer title. This is the same on both dashboard skins. A bill with a named customer shows that name unchanged.

Read the timeline of a voided bill

When a counter bill has been voided (see Void an entire paid bill), its fulfilment status is Cancelled. The timeline then shows no Delivered step, because a cancelled sale was not delivered. This applies on both skins.

Read Pickup status on the newer skin

On the newer dashboard skin, the shipment card of a counter bill shows Pickup status. For a voided counter bill that pill reads the cancelled state rather than the stored pickup state, so a voided bill never looks as if it is still waiting for pickup.

Jump to the appointment

A bill that was created from an appointment shows View appointment among the header actions of the order detail (on the newer skin, in the header's menu of further actions). It opens that appointment on the Appointments page. Ordinary online and counter orders do not show it.

Edge cases and troubleshooting:

  • A counter bill that is not voided. Only a voided (cancelled) counter bill loses the Delivered step; any other bill follows the normal rule below.
  • An online order with no customer name does not read Walk-in customer. The label is applied to counter bills only.
  • The Delivered step is missing on a bill that was not voided. The step appears only once a delivery time exists; a bill that has not been handed over yet has none.

Two alternate paths exist outside the main flow:

  • Cancelled — the order was stopped before fulfilment. The cancellation reason is recorded and displayed on the order. The customer is notified automatically. If payment was already collected, a refund can be started from the same screen.
  • Returned — the customer sent the item back. The return state sits alongside the refund workflow — see Refunds. Customer return requests are approved or rejected under Orders → Returns on the new admin panel — see The Returns screen.

Tip

Every status change (order placed, shipped, cancelled, refund processed) triggers an automatic message to the customer by email, SMS, and WhatsApp using the contact details they gave at checkout. You do not need to send these yourself.

Tracking numbers and invoices from the list

You don't have to open every order to move it forward:

  • Tracking-number entry happens from the order detail screen once a shipment is booked — see Order Detail: Status, Cancellation & Fulfilment Handoff.
  • Invoice generation — open any order and use the invoice preview to get a fully formatted PDF: your store's branding, the customer's billing address, a line-item table, tax breakdown, and totals.
  • CSV/PDF export — export the whole visible list, or generate a PDF invoice for a single order.

Creating an order manually

Both dashboard skins can create an order without a customer completing checkout on your storefront — useful for phone orders, in-person sales, or any sale you need to record on the customer's behalf.

On the classic admin, click New Order at the top of the Orders list, next to New invoice. On the newer dashboard skin, click + New order at the top of the Orders list (or Create first order from the empty state). Both open the same order form at /orders/new.

Pick the customer

Choose Existing customer and search by name, email, or phone to attach the order to a registered shopper, or choose Guest and enter the buyer's first name, last name, email, and (optionally) phone number directly. Use one or the other, not both.

Add items

Search your catalog, pick a product (and a variant, if it has one), and set the quantity. A stock hint shows how many units are available — type more than that and the quantity is automatically capped and you're notified. Stock is re-checked when you submit, so this hint isn't a guarantee if inventory changes in the meantime. Add as many line items as the order needs; each shows its unit price and line total, priced from your live catalog (you can't override prices when creating the order this way).

Choose, edit, or add the shipping address

Every manual order needs a delivery address — name, phone, address lines, city, state, postal code, and country. How you enter it depends on the customer you picked:

  • Existing customer with saved addresses — the Shipping address section lists every address in that customer's address book, with their Default address already selected. Click any address card to ship there instead. Nothing needs to be typed. If a saved address has no recipient name or phone, the card shows the customer's own name and phone, and the order uses them too.
  • Edit — click Edit on an address card to open it as a form, already filled in. Change whatever you need (a new flat number, a different phone). Also update this address in the customer's address book is ticked by default, so the saved address is corrected too; untick it to use the change for this order only. Choose a saved address throws the edit away and takes you back to the list.
  • Add new address — click + Add new address below the list for a blank form. The recipient's name and phone are pre-filled from the customer's profile. Save this address to the customer's address book is ticked by default; untick it for a one-off delivery address.
  • Existing customer with no saved addresses — the form opens straight away. If you keep the save option ticked, this address becomes the customer's default.
  • Guest — enter the full address by hand. The guest is created with the order, and this address becomes their first saved address and their default.

For an Indian address, typing a 6-digit postal code fills in City and State for you (you can still change them). The form also checks that the phone is a valid 10-digit mobile number (a leading +91 is fine) and that the postal code has 6 digits before it lets you submit.

Under the address form, Save address (shown for an existing customer) applies your edit straight away and, once the address is saved, returns you to the saved-address list with that card selected, without creating the order. With Also update this address in the customer's address book (or Save this address to the customer's address book) ticked, the address is written to the address book at that moment; if the write fails you see an error and stay on the form. With the box unticked while you are editing a saved card, nothing is written: the edit applies to this order only, and the card shows your edited details. (Unticked on a brand-new address, the button does nothing further; the address is still used for the order when you submit.) If a field is invalid, for example a postal code that is not 6 digits, the form stays open with the error. Selecting Save address is optional; submitting the order saves a ticked address too.

An address you save or update here is written to the customer's address book (immediately with Save address, otherwise when you submit the order), and appears on the Addresses tab of the customer's detail page. An order placed with a saved address points at that address, so its shipping details match the address book. An address you left unsaved (save option unticked) is stored only on this order and never shows up in the customer's address book.

Set the billing address (optional)

Leave Billing same as shipping ticked to reuse the delivery address, or untick it to enter a separate billing address.

Apply a coupon (optional)

Enter a coupon code if the order qualifies — it's validated and redeemed the same way a customer's own coupon would be at checkout.

Choose how the order was paid

Pick Cash on Delivery if payment hasn't happened yet, or Manually paid if you already collected payment outside the platform (bank transfer, cash in person, a payment link, and so on). For a manually-paid order you can add a payment reference and a short note — both optional, useful for reconciling against your own records later.

Add shipping cost and a note, then create the order

Optionally set a shipping amount (defaults to zero) and an admin note for your own records, then submit. On success you're taken straight to the new order's detail page, where it behaves exactly like a customer-placed order — same statuses, same fulfilment and refund tools.

What can go wrong

If a product or variant no longer exists, if a chosen customer can't be found, if the requested quantity now exceeds stock, or if the coupon code isn't valid, the form shows an inline error instead of creating a partial order — nothing is saved until every check passes. If your plan doesn't include manual order creation, the form shows an upgrade prompt instead.

Serviceability isn't checked on manual orders

Unlike customer checkout, a manual order doesn't block on a non-serviceable delivery pincode — you are often self-shipping or hand-delivering these orders yourself, so this won't stop you from creating one.

Troubleshooting the shipping address

No saved addresses show up for a customer? The list only includes addresses in that customer's address book — add one from their detail page, or use + Add new address here and keep the save option ticked. "The selected address is missing required details"? Some older saved addresses are missing a required detail or have one in the wrong format (often the phone or postal code), and the order can't be created with them. Click Edit on that address and fix the flagged field. City and state didn't fill in? Autofill only works for Indian addresses with a known 6-digit postal code; type the city and state yourself otherwise. "Couldn't save the address to the customer's address book"? The order wasn't created. Try again, or untick the save option to place the order with the address used for this order only.
